How you will make an impact:
Supervise operational and maintenance activities pertaining to office- and management, telecommunications, IT & Reception, corporate credit cards, parking, courier, office supplies, dosimeters for Dubai and Saudi team, event support and EHS efforts to ensure compliance and service quality in multiple geographical locations.
Manage and be the point of contact for the different portals related to the Dubai and Saudi legal entities.
Responsible of invoices management for Middle East Area, following the internal processes as per compliance using the Edwards portals.
Ensure the preparation of information, documents, and logistics for assigned department, significant organizational group, or executive level management.
Assistance to the company directors with respect to various administrative tasks including:
Support and coordinate with the BU leaders and the Proffesional Education team, travels, accommodations, and transfers for HCP’s at a regional & international level.
Cooperate and support larger corporate events (e.g. conferences, team-buildings, Iftar Party, Diwali, Christmas/Year End Celebration, etc.)
Provide event management support for HR department (e.g. social team events, charity occasions, volunteer initiatives)
Liaise via phone and in person, establishing and maintaining relationships with external suppliers relevant to events such as hotels, restaurants, event agencies, entertainment providers and other participating parties
What you’ll need (Required):
High School Diploma or equivalent 6 years’ experience directly related experience including executive required.
Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
Excellent written and verbal communications skills, including negotiating and relationship management skills.
Advanced problem-solving skills
Ability to manage complex travel arrangements, in keeping with overall time commitments and in support of optimizing time management.
Completes tasks in resourceful and effective ways.
Ability to manage internal and external confidential information with utmost discretion.
Works autonomously within established procedures and practices
Ability to build and maintain strong relationships across the organization to influence and achieve objectives.
Ability to work in a fast paced, dynamic work environment.
Strict attention to detail .
