Job Description: Office Manager & Operations Coordinator

Position: Office Manager & Operations Coordinator

Contract Duration: Two years

Working Hours: Monday to Saturday 9:00 AM to 7:00 PM

Location: Flexible within our office and remote systems (primarily phone and laptopbased coordination)

About the Role

We are looking for a dynamic and proactive individual to join our entertainment agency as an Office Manager & Operations Coordinator. You will be the backbone of our business ensuring smooth operations seamless communication and effective coordination across all areas of the agency. Your efforts will help us grow and maintain our reputation as a leading entertainment provider in the region.

Key Responsibilities

Operations Management:

Manage the daytoday operations of the agency through effective use of communication tools (phone email WhatsApp etc.).

Oversee scheduling and coordination to ensure that artists venues and clients are aligned and everyone is in the right place at the right time.

Maintain detailed records of all bookings contracts and communications to ensure efficient workflows.

Communication & Coordination:

Act as the primary point of contact between the agency clients and artists ensuring clear and timely communication.

Handle incoming client requests and relay accurate information to the team for followup.

Foster relationships with clients and artists to ensure longterm collaboration and satisfaction.

Talent Profiling & Acquisition:

Assist with profiling and vetting new talent to add to the agencys roster.

Actively seek and onboard new talent and clients to grow the agencys portfolio.

Help manage talent profiles ensuring accurate information is available for client proposals.

Administrative Support:

Manage all administrative tasks including emails contracts invoicing and accounts.

Keep paperwork and accounts in order ensuring compliance with company standards and legal requirements.

Assist with payment followups statement reconciliation and general financial management.

Business Growth Support:

Collaborate with the team to implement strategies for upselling and expanding the client base.

Support initiatives to enhance operational efficiency and improve client and artist satisfaction.

Requirements

Previous experience in operations management coordination or similar roles.

Excellent communication skills in English (both written and spoken).

Strong organizational skills with the ability to multitask and prioritize effectively.

Proficiency in Microsoft Office Suite email management tools and digital communication platforms.

A proactive problemsolving attitude and the ability to work independently.

Knowledge of the entertainment industry is a plus.
