Payroll Specialist
Job Summary
PAYROLL PREPARATION AND PROCESSING
Responsible for the whole payroll cycle for assigned companies
Prepares and processes monthly payroll including salary payments and deductions
Reviews calculates and processes payroll changes adjustments earnings & deductions including new hires leave management promotion termination etc etc
Verifies timekeeping records maintains time and attendance records using paper timesheets and/or electronic time management system.
Process off-cycle payroll related payments
Process End of Service Benefits (EOSB)
Review and reconciles payroll records for accuracy
REPORTING AND RECONCILIATION
Compile payroll data including employees time worked and pay rate
Generates and verifies payroll reports.
Prepares periodic reports of earnings and deductions.
Reconciles monthly and year-end reports.
Verifies and reconciles SIF file for the WPS
Ensure accuracy in reconciling and running interim and month-end payroll reports
Process accurate and timely year-end reporting and provisions when necessary
Validates various payroll reports against run results
Ensure proper reconciliation and prepare reports for review by management.
Develop ad hoc financial and operational reporting as needed
SYSTEM AND EMPLOYEE MAINTENANCE
Manage workflow to ensure all payroll transactions are processed accurately and timely
Assists and coordinates the workflow and procedures between Payroll and BHR and Finance
Ensure that employee information related to payroll will be accurate and updated
Get inputs from BHR to ensure all payroll related data are accurate and up to date
Ensure payroll data accuracy and perform appropriate corrective actions to resolve identified inconsistencies errors or other problems
Keep track of all payroll related changes made in HRMS
Makes journal entries as required
Able to use payroll software with accuracy and efficiency
TRAINING DOCUMENTATION AND COMMUNICATION
Assists BHR with payroll related questions and issues and answers in a timely manner
Train and support the team in handling and resolving payroll related issues
Be able to attend to investigate and resolve payroll and pay-related issues and queries
Handling complaints about payments and resolving discrepancies
Analyse payroll issues and recommend corrective actions
Document and update written payroll procedures.
Reviews and maintains updated procedures.
Maintains payroll documentation and files
Maintains scans and files payroll records for future reference
Maintaining payroll operations by following policies and procedures
Works closely with BHR and Finance to ensure to meet proper cut-off dates and adhere to monthly and yearly reporting schedules.
Have great communication skills to interact with colleagues and executives

Maintain a high level of security and confidentiality of sensitive information
Ensure strict compliance with company and regulatory standards
Be prepared for any scheduled audits of payroll records to ensure continued accuracy
OTHER DUTIES
In conjunction with the Assistant Payroll manager suggest improvements to payroll related operational procedures policies and standards in line with the UAE Labour Law
Closely liaise with PR Coordinator to verify visas MOL listings cancellations labor card renewals and upkeep the data
Perform other duties as assigned by the Direct Manager.
Education/ Qualification
Associate or Bachelors degree in business or accounting is preferred.
Work Experience
At least 4 years in depth experience in payroll and payroll management procedures in a fast-paced environment
Experience functioning with payroll applications and payroll service providers
Experience in managing multiple tasks throughout their day while maintaining a high level of accuracy in their work and production
Knowledge
Knowledge of Microsoft D365 and other HRMS applications accounting principles costing and payroll processing.
Monthly payroll processing and thorough understanding of final settlement calculations leave entitlement /settlement in compliance with UAE laws.
