Administrative Support:

  • Answer and direct phone calls, take messages, and respond to inquiries.
  • Manage and maintain filing systems, both electronic and physical.
  • Handle incoming and outgoing correspondence, including mail and emails.
  • Schedule and coordinate appointments, meetings, and events.
  • Data Entry and Record Keeping:
  • Input and update data into databases and spreadsheets.
  • Maintain accurate records of various office activities, expenses, and transactions.
  • Prepare and organize reports as needed.
  • Office Organization:
  • Ensure a clean and organized office environment.
  • Order and maintain office supplies.
  • Coordinate with vendors and service providers for office needs.
  • Support to Staff:
  • Assist colleagues with tasks as needed.
  • Coordinate travel arrangements and accommodations for team members.
  • Provide orientation and support to new employees.Communication:
  • Communicate effectively with both internal and external stakeholders.
  • Draft and proofread correspondence, memos, and other documents.
  • Technology and Equipment Management:
  • Assist with basic IT support for office equipment and systems.
  • Coordinate repairs and maintenance for office equipment.
  • Problem Solving:
  • Identify and address issues or challenges that may arise in the daily operations of the office.
  • Propose solutions and improvements to enhance efficiency.
