We are seeking a highly organized and detailoriented Administrative Assistant to support the Legal Department in a fastpaced real estate environment. The ideal candidate will play a crucial role in providing administrative support for legal matters related to property transactions lease agreements litigation and compliance. 1. General Administrative Support:
- Provide administrative support to the legal team including scheduling meetings maintaining calendars and managing office correspondence.
- Organize and maintain legal files both physical and electronic ensuring all documents are properly filed and easy to retrieve.
- Draft and proofread routine legal documents correspondence and contracts (e.g. real estate agreements leases amendments).
- Assist in organizing and preparing materials for meetings hearings and negotiations.
- Handle the preparation and processing of various legal documents including contracts and agreements related to real estate transactions.
2. Document Management & Compliance:
- Assist in the preparation and review of legal documents including purchase agreements leases title documents and closing paperwork.
- Ensure all contracts and legal documents comply with company policies and legal regulations with a focus on real estate laws.
- Manage document storage retention and destruction in accordance with legal and company requirements.
- Assist with maintaining and updating records related to real estate transactions property titles and contracts.
3. Real Estate Transaction Support:
- Coordinate logistics for real estate transactions including the organization of property documents and liaising with external parties (e.g. agents brokers vendors title companies).
- Provide support during property acquisitions sales leasing and other transactions.
- Assist with due diligence processes including reviewing documents related to property ownership zoning and regulatory compliance.
4. Communication and Correspondence:
- Serve as the point of contact between the legal department and external parties including clients contractors and legal firms.
- Draft and manage correspondence including emails and letters ensuring prompt and professional communication.
- Manage legal department mail scanning and electronic document distribution.
5. Research and Reporting:
- Conduct legal research related to real estate laws regulations and industry trends as needed by the legal team.
- Assist in the preparation of legal summaries reports and presentations for internal and external stakeholders.
6. Billing and Budgeting Support:
- Track and organize legal invoices expenses and budgets related to real estate transactions and legal matters.
- Coordinate with the finance department to ensure that invoices are processed in a timely manner.
Qualifications:
Education and Experience:
- Bachelor s degree in Business Administration Legal Studies or a related field (preferred).
- Previous experience as an administrative assistant legal assistant or paralegal (ideally within a real estate or corporate legal environment) is highly preferred.
- Familiarity with real estate laws and property transactions is a plus.
Skills:
- Strong organizational skills and attention to detail with the ability to manage multiple tasks and priorities effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and legal document management systems.
- Ability to maintain confidentiality and handle sensitive legal information with discretion.
- Strong timemanagement skills and the ability to work independently as well as part of a team.
- Familiarity with real estate contracts leases and regulatory requirements is an asset.

Qualifications: High school diploma or equivalent, along with a polished and educated demeanour, and excellent English communication skills. Experience: Previous experience in a gallery, hospitality, or customer service setting (face to face) is a plus. 1-3 years experience in food and beverage service is preferred. Attention to detail and a commitment to cleanliness and organization. Ability to work independently and collaboratively within a team. Flexibility to work evenings and weekends as needed for events Skills: Strong communication and interpersonal skills. Presentable and decent English.
