Job Title: Receptionist (Aesthetics Clinic)
Location: Dubai UAE

Reports to: Clinic Manager
Job Summary:
We are seeking a professional friendly and organized Receptionist to join our Aesthetics Clinic in Dubai. As the first point of contact for our patients you will play a crucial role in ensuring a welcoming and seamless experience from the moment they walk in. The ideal candidate will have excellent communication skills a keen attention to detail and a passion for customer service in a healthcare or aesthetics setting.
Key Responsibilities:
Front Desk Management:
- Greet and welcome patients as they arrive at the clinic creating a warm and inviting atmosphere.
- Manage the clinic s front desk ensuring it is organized tidy and presentable always.
- Answer and direct phone calls emails and inquiries providing information about clinic services and booking appointments.

Appointment Scheduling:
- Schedule and confirm patient appointments using the clinic s booking system.
- Coordinate with clinical staff to ensure smooth patient flow and minimize waiting times.
- Remind patients of upcoming appointments and manage any changes or cancelations.

Patient CheckIn and CheckOut:
- Assist patients with the checkin process including verifying personal and medical information and updating records as needed.
- Process payments for services issue receipts and handle any billing inquiries.
- Provide patients with postappointment instructions and schedule followup visits if necessary.

Administrative Support:
- Maintain and update patient records ensuring all information is accurate and confidential.
- Assist with administrative tasks such as filing data entry and managing correspondence.
- Handle deliveries mail and other front desk logistics.

Customer Service:
- Address patient inquiries and concerns with professionalism and empathy.
- Provide information on the clinic s services promotions and packages.
- Assist in resolving any issues or complaints escalating them to the Clinic Manager when necessary.

Compliance and Protocol:
- Ensure all front desk operations adhere to clinic policies procedures and local regulations.
- Uphold the clinic s standards for patient confidentiality and data protection.
- Participate in staff meetings and training sessions to stay updated on clinic procedures and services.

Qualifications:
Education:
- High school diploma or equivalent required.
- Additional training or certification in customer service or office administration is a plus.

Experience:
- Minimum of 12 years of experience as a receptionist preferably in a healthcare medical or aesthetics environment.
- Familiarity with appointment scheduling software and electronic medical records (EMR) systems is preferred.

Skills and Attributes:
- Strong communication and interpersonal skills with a focus on customer service.
- Proficient in using office software including Microsoft Office Suite (Word Excel Outlook).

- Wellorganized detailoriented and proactive in problemsolving.
- Fluent in English; proficiency in Arabic or other languages is an advantage.
- Strong communication and interpersonal skills with a focus on customer service.
