Job Title: Receptionist (Aesthetics Clinic)

Location: Dubai UAE

Job Type: FullTime

Reports to: Clinic Manager

Job Summary:

We are seeking a professional friendly and organized Receptionist to join our Aesthetics Clinic in Dubai. As the first point of contact for our patients you will play a crucial role in ensuring a welcoming and seamless experience from the moment they walk in. The ideal candidate will have excellent communication skills a keen attention to detail and a passion for customer service in a healthcare or aesthetics setting.

Key Responsibilities:

  • Front Desk Management:

    • Greet and welcome patients as they arrive at the clinic creating a warm and inviting atmosphere.
    • Manage the clinic s front desk ensuring it is organized tidy and presentable always.
    • Answer and direct phone calls emails and inquiries providing information about clinic services and booking appointments.
  • Appointment Scheduling:

    • Schedule and confirm patient appointments using the clinic s booking system.
    • Coordinate with clinical staff to ensure smooth patient flow and minimize waiting times.
    • Remind patients of upcoming appointments and manage any changes or cancelations.
  • Patient CheckIn and CheckOut:

    • Assist patients with the checkin process including verifying personal and medical information and updating records as needed.
    • Process payments for services issue receipts and handle any billing inquiries.
    • Provide patients with postappointment instructions and schedule followup visits if necessary.
  • Administrative Support:

    • Maintain and update patient records ensuring all information is accurate and confidential.
    • Assist with administrative tasks such as filing data entry and managing correspondence.
    • Handle deliveries mail and other front desk logistics.
  • Customer Service:

    • Address patient inquiries and concerns with professionalism and empathy.
    • Provide information on the clinic s services promotions and packages.
    • Assist in resolving any issues or complaints escalating them to the Clinic Manager when necessary.
  • Compliance and Protocol:

    • Ensure all front desk operations adhere to clinic policies procedures and local regulations.
    • Uphold the clinic s standards for patient confidentiality and data protection.
    • Participate in staff meetings and training sessions to stay updated on clinic procedures and services.

Qualifications:

  • Education:

    • High school diploma or equivalent required.
    • Additional training or certification in customer service or office administration is a plus.
  • Experience:

    • Minimum of 12 years of experience as a receptionist preferably in a healthcare medical or aesthetics environment.
    • Familiarity with appointment scheduling software and electronic medical records (EMR) systems is preferred.
  • Skills and Attributes:

    • Strong communication and interpersonal skills with a focus on customer service.
    • Proficient in using office software including Microsoft Office Suite (Word Excel Outlook).
    • Ability to multitask and handle a fastpaced environment with professionalism.
    • Wellorganized detailoriented and proactive in problemsolving.
    • Fluent in English; proficiency in Arabic or other languages is an advantage.
