Job Description

Document Controller (Onsite) at XAD Technologies Dubai

Position: Document Controller
Location: Dubai UAE
Company: XAD Technologies

Responsibilities:

  1. Document Management:

    • Maintain and manage all important documents for the project in both paper and electronic formats.
    • Ensure proper organization storage and accessibility of documents.
    • Control the distribution of documents and ensure that only authorized personnel can access them.
  2. Document Control Systems:

    • Implement and manage electronic document management systems (EDMS).
    • Ensure all documents are accurately tracked and managed through the EDMS.
    • Train team members on the use of document control systems.
  3. Quality Assurance:

    • Review documents for accuracy and compliance with company policies and standards.
    • Conduct regular audits of documents to ensure completeness and adherence to procedures.
    • Manage the revision and approval process for all documents.
  4. Coordination:

    • Coordinate with project managers engineers and other team members to ensure document control requirements are met.
    • Act as a point of contact for documentrelated queries and issues.
    • Liaise with external contractors and suppliers to ensure timely receipt of documentation.
  5. Reporting:

    • Generate regular reports on document status and distribution.
    • Provide updates to project managers and senior management on document control activities.
    • Ensure documentation is updated and reflects the current project status.
  6. Archiving:

    • Ensure proper archiving of project documents upon completion.
    • Maintain an archive of historical documents for reference and legal purposes.

Requirements:

  • Education:

    • Diploma or Bachelors degree in a relevant field.
  • Experience:

    • Minimum of 35 years of experience in document control preferably within the construction or telecommunications industry.
    • Experience with electronic document management systems (EDMS).
  • Skills:

    • Proficient in MS Office and document control software.
    • Strong organizational and time management skills.
    • Excellent attention to detail and accuracy.
    • Good communication and interpersonal skills.
    • Ability to work independently and as part of a team.
  • Other:

    • Knowledge of industry standards and regulations related to document control.
    • Ability to handle confidential information with discretion.
    • Fluent in English; knowledge of Arabic is an advantage.
