JOB TITLE: Logistics Assistant (Customer Service) G5 TDY
JOB CONTRACT/GRADE: G5 Fixed-Term Staff
JOB LOCATION: Dubai UAE
REPORTING TO: Head of Customer Service/Operations
TECHNICALLY REPORTING TO: Logistics Associate (Customer Service) G6
This position is open for UAE nationals and/or those holding a valid UAE residency visa.
Key Responsibilities:
1. Provide support to logistics operations and activities following standard processes and facilitating directly or indirectly the effective delivery of equipment and other relief items
2. Support timely ordering and delivery of commodities and supplies to authorised partners and destinations.
3. Support management of logistics vendors contracting activities including performance monitoring and measurement.
4. Respond to a variety of technical queries/requests for support following standard processes and obtaining guidance as required to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.
5. Assist in management of commodity accounting data quality and integrity.
6. Support operational pipeline analyses assessments and operational planning for all delivery modalities.
7. Process documentation for execution of logistics operations (e.g. customs clearance invoice verification) take appropriate actions to resolve operational issues escalating various issues to the supervisor.
8. Collect and compile data produce and/or contribute to reports (e.g. CCTI SPRs financial closure physical inventory transport performance) and ensure information accuracy in corporate systems in support to informed decision-making.
9. Liaise with internal and limited number of external stakeholders to support efficient logistics operations management.
10. Provide guidance to other support staff in order to assist them in completing standard tasks to agreed standards and deadlines.
OTHER POST REQUIREMENTS
11. Work closely with the Logistics Associate and Head of Operations in coordinating requests throughout the supply chain process and ensure timely delivery of commodities and supplies to authorized partners and destinations.
12. Maintain effective communication with relevant stakeholders to ensure smooth and efficient operations. Proactively identify resolve and/or provide recommendations on specialized queries/requests with a client-focused mindset.
13. Provide support to logistics operations and activities ensuring the effective predisposition and delivery of emergency items to meet the customers requirements. Contribute to the effective delivery of humanitarian assistance and logistics support in the UNHRD Dubai Hub.
14. Support with predictive analyses to anticipate requests of the different partners based on the evolving humanitarian needs.
15. Work closely with the other hub team members to ensure customers request and expected timelines can be met. Collaborate with warehouse staff to optimize effective operational planning storage and handling processes.
16. Identify evolving client needs recommending changes for process improvement in customer service. Continuously seek opportunities and actively contribute to efforts to enhance customer service procedures and tools through increased digitalization.
STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE
Education
Completion of secondary school education. Additional training in logistics supply chain management or related field is desirable.
Experience
Minimum 5 years of experience in logistics supply chain management or related areas.
Experience in an international organization is an asset.
Knowledge and Skills
Essentials:
Proficiency in logistics software Microsoft Excel Word and Power-point
Strong customer service and communication skills.
Accurate attentive to detail and thorough in managing logistics and customer service information to deliver as one of common goals.
Stays focused and calm when under pressure and continue to deliver quality work
Focused on meeting the needs of clients and providing high-quality services. Uses initiative and sound judgment to address and resolve issues.
Collaborates effectively and respectfully with colleagues of the same and different units from diverse background/nationality/ages and belief to achieve organizational goals.
Desirable:
Holding a Landslide Logistics Contracting Training certification or any similar Logistics certification is an advantage.
Experience working with Software as a Service (SaaS) platform such as SAP Logistics software is an advantage.
Language
Proficiency in English. Knowledge of another UN language is an advantage.
Experience using corporate systems to monitor ongoing shipments pipeline information insurance claims and food stock. Experience analysing data (on commodities funds etc.) and drafting reports. Experience in measuring service providers performance against set KPIs. Experience in assisting the preparation of contract documentation. Experience in providing technical business support in corporate systems.
