The Associate Sales Coordinator works closely with the sales Coordinator team to ensure that all projects and daily tasks can be completed in a timely manner. The Associate Sales Coordinator will perform the same type of tasks as the sales Coordinator, learning the procedures for customers in every sector to be able to assist all Sales Coordinators. The Associate Sales Coordinator will not be teamed with any sales manager and will be invaluable to the entire team.
Specific Responsibilities & Duties:
SALES
• Work daily with Sales Coordinators to ensure that deadlines and response times can be met or exceeded, daily tasks stay up to date
• Understand and analyze vendor compliance guidelines as well as maintain customer portals
• Participate with sales team as a member
• Report weekly to team and department manager on all open projects
• Assist in coordination of trade shows and large Customer presentations
• Assist in coordination of new customer set up and ensure programs are implemented internally
MARKETING
• Help create and coordinate distribution of marketing and sales materials to sales team for presentations on company products to national accounts to increase sales
• Manage, and help coordinate with marketing when applicable, layouts and designing of communications such as presentations, event support materials, and brochures
OPERATIONS
• Work with the product team to set up new items in the system, ensuring that all customer requested specifications are met
• Prepare and distribute regularly scheduled order status reports to customers
• Process customer orders following established SOP’s
• Respond to customers inquiries
• Participate in regularly scheduled and ad hoc planning meetings
• Resolve customer complaints via phone, email, mail, or social media o Effectively diffuse dissatisfaction, and quickly identify course of action with a goal of first call resolution within established turnaround times.
OTHER
• Perform other duties as assigned by management
Essential Skills:
• Must understand and be able to react to the time sensitive nature of customer and sales team needs and requests
• Must be able to read, write and speak English fluently
• Strong communication skills and customer focus to deliver excellent service
• Display a high level of confidentiality for both customer and company
• Ability to learn quickly and multi-task
• Intermediate computer skills with MS Office Suite, Outlook, ability to quickly learn proprietary systems
• Able to work both independently and in a team environment
• Excellent customer service skills and strong desire to serve the customer
• Strong analytical skills to reconcile various reports to ensure customer requirements are met
• Must be able to work overtime as required
• Understanding of order receipt process, including those through EDI portals.
• Attention to detail, excellent organizational skills, written and verbal communication skills.
Education & Experience:
• Bachelor’s degree in a business-related field is preferred but not required.
• Experience working within databases.
• Experience in customer service
• Excellent time management skill
