Job Description

We are seeking a highly professional and experienced Secretary to provide comprehensive administrative and organizational support to a VIP Executive. This role requires exceptional attention to detail discretion and the ability to manage multiple tasks in a fastpaced environment.


Key Responsibilities

Manage and maintain the Executives calendar scheduling appointments meetings and events.
Organize and prioritize daily tasks and correspondence including emails calls and messages.
Prepare and edit documents reports and presentations with high accuracy.
Prepare meeting materials take minutes and follow up on action items.
Coordinate with internal and external stakeholders for seamless meeting execution.
Handle sensitive information with utmost confidentiality and professionalism.
Act as a trusted liaison between the Executive and various stakeholders.
Assist with personal errands event planning and other tasks as required.
Manage and organize the Executive s personal documentation and records.
Ensure the smooth running of the Executive s office by liaising with suppliers contractors and other team members.
Maintain an organized filing system and manage office supplies.


Requirements

Bachelor s degree in Business Administration Office Management or related field (preferred).
Minimum of 5 years as a Secretary Executive Assistant or in a similar role supporting highlevel executives or VIPs.
Excellent organizational and timemanagement skills.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
Outstanding verbal and written communication in English (additional languages are a plus).
Strong interpersonal skills and the ability to interact with VIPs and highprofile individuals.
Discretion reliability and a professional demeanor.
Flexibility to adapt to changing priorities and work outside standard hours if needed.
