Job Description

One of our prestigious clients is looking to hire a Executive Personal Assistant (PA) In the Oil & Gas Industry who will be responsible for but not limited to:

Job Summary

To provide highlevel administrative support to our executives within the dynamic and fastpaced Oil and Gas industry. The ideal candidate will have 5 to 15 years of relevant experience excellent organizational skills and the ability to handle confidential information with discretion. This role requires a proactive and detailoriented individual who can thrive in a challenging and demanding environment.

Responsibilities

  • Manage and maintain executives schedules appointments and travel arrangements.
  • Act as the primary point of contact between executives and internal/external stakeholders.
  • Prepare and organize meetings conferences and events; coordinate logistics and ensure all necessary materials are available.
  • Draft proofread and edit correspondence reports and presentations on behalf of executives.
  • Handle incoming and outgoing communication including emails phone calls and other forms of correspondence.
  • Prioritize and respond to inquiries on behalf of executives ensuring timely and effective communication.
  • Maintain a comprehensive and organized filing system for documents records and other relevant information.
  • Conduct research and compile data as required by executives for decisionmaking purposes.
  • Keep executives informed of important updates deadlines and priorities.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Ensure compliance with company policies and industry regulations regarding data protection and confidentiality.
  • Assist in coordinating and managing various projects ensuring deadlines and objectives are met.
  • Collaborate with different departments to gather information and facilitate seamless project execution.
  • Track and reconcile expenses ensuring accuracy and adherence to company policies.
  • Anticipate and address potential issues before they arise providing proactive solutions.

Qualifications and Requirements:

  • Bachelors degree in business administration management or a related field.
  • 5 15 years of experience as an Executive Personal Assistant preferably within the Oil and Gas industry.
  • Strong proficiency in office software (Microsoft Office suite email management etc.).
  • Exceptional organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proven ability to maintain confidentiality and handle sensitive information.
  • Flexibility to adapt to changing priorities and work outside regular business hours if necessary.
