Senior Document Controller (VT Design Consultancy)

Join our dynamic vertical transportation design consultancy in Dubai! We are seeking a Senior Document Controller to manage document control governance and CDE (Common Data Environment) for our this role youll keep our projects moving by organizing tracking and safeguarding all technical documentation. You will own version control transmittals and audit trails so teams can trust theyre working from the latest approved information. This is a full-time office-based position reporting to the Head of Design/PMO.

• Govern Document Control and CDE Management: Oversee our Common Data Environment (e.g. Oracle Aconex Autodesk BIM 360/ACC SharePoint) and implement EDMS tools/configuration in line with project requirements and quality policies.
• Stakeholder Coordination: Work closely with engineers architects consultants and other stakeholders to streamline documentation workflows. Provide training and guidance on document standards and best practices to project teams and partners.
• Maintain Registers and Reports: Produce and update document registers status reports and dashboards. Ensure all drawings and deliverables are properly version-controlled accessible and audit-ready.
• Audit Readiness: Support internal and external audits by compiling turnover dossiers as-built packages and ensuring compliance checks. Keep document libraries always organized and audit compliant.
• Continuous Improvement: Develop KPIs and refine document control processes for greater traceability. Enforce ISO-aligned documentation controls (ISO 9001/19650) and incorporate lessons learned into improved workflows.

• Experience: 710 years of document control experience (ideally in engineering or design consultancy projects). Experience leading or mentoring a document control team is a plus.
• Technical Skills: Proven proficiency with CDE/DMS platforms such as Oracle Aconex Autodesk BIM 360 (ACC) MS SharePoint etc. Hands-on experience configuring document workflows and maintaining complex libraries.
• Industry Background: Experience in Vertical Transportation (elevators/escalators) or related MEP disciplines is highly valued. Familiarity with reading and managing lift/escalator design drawings and specifications.
• Standards & Compliance: Good understanding of ISO 9001/19650 standards and quality management. Comfortable managing audit processes and documentation compliance.
• Skills: Excellent communication organization and leadership skills. Ability to coordinate across teams and manage multiple projects simultaneously.
