Administration Assistant/ PRO

Job Description:

We are looking for a reliable highly organized individual with great communication skills to join our team as an Administration Assistant/ PRO.

This is a full-time entry-level position based at our office in Dubai Airport Free Zone. The role offers a permanent contract and requires daily on-site presence.

This role is about assisting the Senior Administration Officer in daily management of administrative services for Airbus Africa and Middle East employees within DAFZA and all concerned authorities inside or outside of the UAE (immigration consulates municipality Civil Aviation Authority etc.).

• Handle on-line visa application

• Manage of e-wallet and combine expenses report as required by Finance department

• Assist Procurement department with various purchases by raising purchase orders via SAP

• Administer the companys parking slot allocation system

• Managing business cards and other printing press orders

• Preparing gate passes and other permits for the visitors

• Support the Senior Administration Officer in planning and organizing company events and activities

• Provide backup support to the Senior Administration Officer and other secretarial staff during absences or leave

• Administer medical insurance applications and cancellations; update the census list during renewals

• Collect maintain and review employee data for internal reports assist in developing or refining reporting formats and verifying information

• Assist in HR-related administrative tasks and recruitment projects

• Perform general clerical duties including filing scanning copying and archiving

• Carry out other administrative tasks as assigned

Job Requirements:

• Degree or diploma and at least 3 years relevant work experience in Dubai

• Practical knowledge of UAE immigration rules and procedures

• Excellent verbal and written communication skills in English is a must

• Speaking and writing in Arabic is a big advantage

• Good organizational and interpersonal skills are strongly required.

• Advanced proficiency in the use of MS Office applications like Excel and Powerpoint or G-Suite (Google Sheets and Google Slides)
