Tasks
Document Management & DMCC Interaction
Manage the companys DMCC account: license renewals request for extracts and other documentation
Maintain and update corporate documents and records
Prepare send and track signed documents
Employee Onboarding & Support
Organize visa support medical insurance and health checks
Support employees with registrations in DMCC and systems like Al Ansari
Assist new hires with relocation housing search and SIM card registration
Office Administration
Coordinate with landlords building management and utility providers
Handle maintenance issues (e.g. air conditioning office equipment)
Manage office supplies and equipment procurement (including IT hardware in cooperation with the IT department)
Project & Task Coordination
Manage multiple tasks and small projects prioritizing effectively under tight deadlines
Solve non-standard administrative and HR-related issues
HR Administration
Organize onboarding offboarding vacation and business trip processes
Maintain records of leaves insurance and other HR documentation in compliance with UAE law
Liaise with HR department free zone authorities and external vendors
Requirements
Proven experience in administrative functions preferably in an international company
Strong project management skills: planning time management resource coordination
Ability to thrive in a fast-paced multitasking environment
Confident user of MS Office (Word Excel PowerPoint)
Russian level: C1-C2
English level: B2 or higher
Positive attitude strong communication skills
Highly organized and detail-oriented
Proactive problem-solving mindset
