To support our growing organization we are looking for a structured and service-minded Office Manager & Assistant who will play a key role in keeping our Dubai office running smoothly and our employees well supported.

In this dual role the Office Manager & Assistant combines office management executive and administrative assistance HR and payroll coordination and basic financial administration. The position is the go-to resource for day-to-day office needs and an important partner to both employees and management.

Your key responsibilities

The role oversees day-to-day office operations and ensures a well-organized and productive environment. It covers the maintenance of office supplies and equipment management of relationships with external vendors and the development implementation and ongoing updating of office policies and procedures. Responsibility also extends to managing office budgets and monitoring expenditures so that costs are controlled and records remain accurate.

Administrative support is provided to management through calendar management meeting scheduling and appointment coordination. The role includes preparing and editing documents reports and presentations as well as organizing travel arrangements and related expenses including booking flights and accommodations for management. Handling incoming and outgoing correspondence such as emails calls and deliveries is part of the remit ensuring professional and efficient communication flows.

Within HR and payroll administration the position is responsible for processing payroll with a focus on accuracy and timely disbursement. It maintains employee records including attendance leave and performance-related documentation prepares HR letters and supports onboarding and training activities for new hires. The role responds to employee queries on HR policies benefits and payroll and contributes to ensuring compliance with relevant labor laws and internal GN policies.

Invoice and financial management includes processing and verifying invoices for payment and liaising with vendors and suppliers regarding billing and payments. The Office Manager & Assistant monitors and reconciles expenses to maintain accurate financial records and assists in preparing financial reports when needed.

The position also coordinates internal meetings events and team activities contributing to engagement and a positive work environment. It oversees office maintenance and acts as the main contact to property managers for facility-related needs helping to ensure that the workplace remains safe clean and welcoming for employees and visitors.

The professional profile includes experience from office management or similar roles with experience delivering high-quality work and maintaining high attention to detail. Effective communication and interpersonal skills support effective collaboration across functions and challenges are approached with a pragmatic problem-solving mindset. A solid basic understanding of financial and HR processes including payroll and relevant labor law principles underpins the work.

Qualifications

  • Bachelors degree in Business Administration Management or a related field

  • Minimum 3 years of experience in office management administration or a similar role

  • Proficiency in Microsoft Office (Word Excel PowerPoint Outlook) and experience with payroll systems

  • Solid organizational skills and the ability to manage multiple tasks while maintaining high attention to detail

  • Effective communication and interpersonal skills

  • Basic understanding of financial and HR processes including payroll processing and relevant labor law principles

  • Fluency in Arabic and English is required

This role is essential for maintaining operational efficiency supporting employees and ensuring smooth administrative HR and financial workflows across the Dubai office.
