Job Description

Responsibilities:
• Develop and Maintain Subcontract Plan
• Pre-qualification of Subcontractors through analysis of information sent in response to questionnaires, financial investigation, and reference checks.
• Development and finalizing of Bidders Lists for each type of work to be subcontracted and obtaining PMT/ASM approval.
• Receive and check requisitions for Subcontracts.
• Ensure the inclusion of HSES requirements in Subcontract Agreements.
• Resolve any discrepancies or deficiencies within the requisition or technical documents.
• Prepare and issue formal Request for Quotations.
• Plan and arrange for bidders to make site visits (where applicable).
• Facilitate bid clarification meetings, pre-award, and award meetings as required.
• Ensure tax, bank guarantees and insurance requirements are correctly addressed.
• Ensure Subcontract schedules are monitored and in line with Project schedules.
• Prepare, execute, and issue Subcontracts terms and conditions and related documents.
• Ensure proper insurance certificates and bank guarantees are on file and log maintained to monitor validity.
• Assist project team in resolving Subcontractor disputes, claims, and performance issues.
• Identification, evaluation, preparation and subsequent agreement of Subcontract scope of work changes.
• Prepare and issue properly approved Addendum’s and Change Orders in support of project requirements.
• Prepare letters to Client & Subcontractors as and when required.
• Maintain Subcontract files with documentation required for audit.
• Ensure Prime Contract conditions, where applicable, flow through to Subcontractors (unless otherwise approved).
• Responsibility to manage the invoice and payment process of subcontracts – this involves the valuation process, acknowledgement of service, preparation of the MCC and approval of invoices.
