General Administrative Support: Provides administrative/confidential support to the Executive Vice President/Deputy and members of his team.
Receives and hosts guests and office visitors with skill and respect.
Maintains a printed or electronic schedule for the responsible deputy.
Follows standard project and office document control procedure for Hill International. Collects, reviews, and distributes incoming mail in both hard and electronic copies. Independently handles incoming mail, without requiring the attention of the responsible representative. Reviews incoming and outgoing correspondence to verify accuracy and format of outgoing documents requiring the signature of the Executive Vice President/Deputy.
Coordinates complex travel arrangements.
Photocopying, scanning and classifying documents.
Prepares, submits, and submits expense reports using VantagePoint.
Processes supplier invoices in coordination with the Finance Department.
Performs other administrative tasks as required.
Be part of the operations/management team when needed.
Other administrative tasks (if and when needed)
Front Desk Operations: Answering phones and routing calls.
Maintain fax machines, copiers, and printers in the office.
Manage office drivers' schedule, such as organizing daily pickup and delivery of documents.
Arrange courier pickup as needed.
Order office and kitchen supplies and coordinate delivery.
