Our Client is looking for a proactive and detail-oriented Executive Assistant with a talent for managing complex tasks and projects in a fast-paced environment. Responsible to provide crucial support to their Strategic Office. Key Responsibilities:
- Strategic Coordination: Actively follow up on key tasks and deliverables to ensure timelines are met. Coordinate periodic and ad-hoc reports, streamline input collection, and facilitate efficient approval processes.
- Presentation Excellence: Prepare, modify, and verify the content of power-point presentations and other formats to deliver compelling visuals and materials.
- Approval Management: Manage the approval process, acquiring the necessary supporting information to expedite approvals.
- Project Support: Assist with special projects, including the design and production of complex documents, reports, and presentations.
- Office Systems: Develop and maintain office systems, including data management and efficient filing, offering valuable support to senior team members.
- Communication Hub: Collect and prepare information for meetings, compose correspondence, manage contact lists, and make travel arrangements.
- Confidentiality: Maintain confidential document files with a clear understanding of information access privileges within the organization.
- Calendar Mastery: Manage the calendar with precision, accommodating changes as necessary.
- Administrative Oversight: Oversee the provision of administrative and secretarial support to ensure seamless operations.
- Gatekeeping: Screen incoming calls and correspondence, responding independently when appropriate.
- Document Preparation: Prepare various documents, including letters, memos, correspondence, agendas, and meeting minutes.
- Event Coordination: Organize events and conferences, from facilities arrangement to invitations distribution, with meticulous budget control.
- Board of Directors Support: Coordinate Board of Directors meetings and compile and distribute meeting minutes.
- Filing System Excellence: Implement and maintain an effective filing system for streamlined access to essential documents.
- Travel Management: Coordinate and manage travel arrangements and prepare travel-related documents as required.
- VIP Guest Services: Manage and coordinate the reception of high-level guests with a focus on creating exceptional experiences.
- Mail Organization: Receive, manage, and organize mail for the office, ensuring efficient handling.
- Bachelors degree in Business Administration or a related field.
- Over 5 years of experience working in executive assistance activities, with a preference for candidates with UAE experience.
- Previous experience in real estate-related companies is a plus.
- Strong proficiency in the English language is essential.
