Job Summary:
To provid e high-level support and coordination in a well-organized and timely manner. This role has 3 direct reports, Country Manager, and the Founders. This role is the executives' right hand person enabling them to advance company initiatives and goals. He/She will filter and attend day-to-day functions that are part of the executive s roles, allowing for focus on high-level leadership and strategy functions.
Responsibilities:
- Act as the point of contact between the executives with internal and external contacts
- Assist in managing diaries, arrange meetings and appointments and provide reminders
- Coordinate travel arrangements
- Take dictation and minutes and accurately enter and manage data
- Produce reports, presentations, and briefs
- Develop and carry out an efficient documentation and filing system
- Draft, review and send communications on behalf of company executive(s)
- Organize and prepare for meetings, including preparing and gathering documents and attending to logistics of meetings
- Maintain various records and documents for company executive(s)
- Ability to work collaboratively across multiple geographies and work asynchronously building genuine relationships.
- Manage multiple priorities while remaining focused on quality and delivery.
- Ability to learn quickly and think ahead.
- High level of empathy and mindfulness.
- Provides systematic and dependable follow-up, as well as a high level of organization and preparedness.
- Maintains workflow under pressure and in a fast-paced, high-profile work environment.
- Accountability always following up and staying ahead of the game.
Requirements
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office
- Proficient with PowerPoint and Excel is a must
- Exemplary planning and time management skills
- Up-to-date with advancements in office gadgets and applications
- Ability to multitask and prioritize daily workload
- Discretion and confidentiality
- Exceptional English communications, both written and verbal
- Ability to work in a fast-paced environment is a must
- Must have Fiber Optic internet with at least 25 Mbps bandwidth
- Must have a backup desktop or laptop with the latest OS
- Must be able to work from 8AM-5PM (Asynchronous)
- Must be amenable to reporting to our Makati office as required
