About Our Client

Our client is a global professional service company they are growing their team and are looking to hire an experienced Administration/ Operations Manager for their office in DIFC Dubai.

Job Description

  • Perform daytoday administration to support the Director of Administration & Special Projects in ensuring the smooth running of the Dubai and Abu Dhabi offices.
  • HR Administration including but not limited to:
  • Benefits: including medical insurance life insurance ESG DEWS contribution etc.
  • Payroll processing
  • Visa application processes
  • Process legal affairs renewals and registrations
  • Draft employment contracts salary letters employment verifications etc.
  • Absence management
  • Assist with staff recruiting processes including interviewing and onboarding
  • Work with the Global HR team to ensure systems are updated etc.
  • Finance Administration:
    • Process vendor invoices
    • Review approve and/or return expenses
    • Assist with preparing the annual budget for the offices
    • Assist the finance department with cashflow requirements
  • Supervise and manage support staff teams including handling coaching and training conduct midyear and yearend review meetings approving overtime and vacation requests.
  • Coordinate secretary work schedules to ensure there is sufficient coverage at all times.
  • Maintain relationships with external service providers and vendors in particular facilities management providers and building management.
  • Support compliance initiatives and adherence to regulatory requirements.
  • Assist with crossdepartmental projects and initiatives and provide adhoc support to other nonUS offices as required.
  • Assist with organising office social events and office meetings.

The Successful Applicant

The successful candidate for this role:

  • 5 7 years of business operations experience preferably in a professional service company
  • Experience with managing and leading a team of support staff
  • Candidate needs to have UAE experience and be based in the country
  • Professional demeanor excellent communication and organisational skill
  • Bachelors Degree
