As a Tapster you will:
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
- Sustain a daily calendar of meetings and events.
- Prepare presentations agendas reports special projects and other documents in support of objectives for the organization.
- Arrange travel and accommodation for executives.
- Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring nonroutine calls to the appropriate staff.
- Draft and prepare correspondence for internal announcements board meetings and organisations that the executive is involved with
- Welcome the guests by greeting them in person or on the phone; answering or directing inquiries.
- Use discretion confidentiality and good judgment to handle sensitive information
- Perform additional duties as assigned by executives.
- Organise complex calendars and schedules; resolving any scheduling issues
- Manage daily office administration including liaising with PRO and supporting HR and matters within the country
- Manage pantry orders
- Coordinate and manage with the facility management company:
- Employee parking arrangements
- Parking payments communication
- Office lease agreement & insurance
- Janitorial agreement renewals
- Provide basic level IT & Office Support:
- Followup on internet renewal
- Router replacement
- IT Assets Purchases maintenance repair & inventory
- Manage travel & logistics arrangements
- Answer landline phone calls
- Provide administrative support to the leadership team including preparing reports drafting correspondence and assisting with other tasks as needed.
- Manage medical insurance renewal & follow up
- Other duties as assigned based on the demands of the business and growth of the role
What you will bring to the party;
- 2 years experience in a similar role ideally within a tech startup or a large tech business supporting executive level individuals
- Demonstrable experience using Google Docs & Microsoft Office
- Experience In supporting local and international offices on administration led duties
- Excellent communication skills in English and ideally Arabic
- A bubbly outgoing personality is essential for this role
