Job Description

Roles and responsibilities

To provide strong support to the Operations team and customers while optimizing SAP usage in daily activities to ensure complete system integrity. To complete administrative tasks with accuracy and within the designated timeframe, and to submit reports promptly.

What you will do:

  • Offer high level support and commercial contact to our customers. Fully understand our SLA / KPI requirements and ensure a customer centric mindset is maintained at all times.
  • Maximize SAP in all day to day activities to maintain system integrity and exceed customer service level expectations.
  • Develop and maintain a healthy relationship with all internal and external stakeholders. Excellent communication and diplomacy is essential to ensure operation runs smoothly and efficiently.
  • Identify areas requiring improvement and develop plans to rectify shortfalls and implement accordingly.
  • Provide direct support and assistance to Auto Units Supervisors and Transport Planners. Complete cross-training for all Auto Units departments and have knowledge of the full supply chain process.
  • Preparation of Daily Reports for prompt submission to Operations Manager (SNA Update, PDI Feed, Daily KM Report)
  • Provide/update system entries (UL creation, Shipment/delivery creation, Binning Location updates, etc) when required.
  • Ensure that offline employees are made aware of company advertisements and promotions, as well as announcements and notices from top management.. These shall then be posted promptly on the notice board an updated regularly .
  • Perform record-keeping (meeting Minutes)and clerical tasks (filing) as necessary.
  • Offer high level support to the Operations Manager/Operations Supervisor in the preparation of incident reports for submission to top management /other departments.

Required Skills To Be Successful:

  • Strong knowledge and experience in Transport Planning and Warehousing
  • Excellent knowledge of MS Office with strong Excel Skills
  • Analytical in thought and practice
  • SAP knowledge will be an added advantage

Desired candidate profile

  • Process Optimization: Analyzing existing processes to identify inefficiencies and implementing improvements to increase productivity and reduce costs.
  • Workflow Management: Streamlining workflows and ensuring all tasks are completed efficiently and on schedule.
  • Resource Allocation: Ensuring that resources (staff, equipment, budget) are used efficiently and that operations are aligned with business goals.

2. Project Management:

  • Project Coordination: Managing projects from inception to completion, ensuring they stay on track, meet deadlines, and align with company objectives.
  • Time Management: Prioritizing tasks, managing multiple projects simultaneously, and ensuring deadlines are met.
  • Risk Management: Identifying potential risks to operations and developing strategies to mitigate those risks.

3. Data Analysis and Reporting:

  • Data-Driven Decision Making: Analyzing operational data and metrics to make informed decisions that improve performance and drive business results.
  • Reporting: Preparing regular reports on operational performance, highlighting areas for improvement and providing updates to senior management.
  • Key Performance Indicators (KPIs): Developing and monitoring KPIs to track the success of various operational initiatives.

4. Leadership and Team Management:

  • Team Coordination: Leading and coordinating teams across departments to ensure effective collaboration and task completion.
  • Motivation and Mentorship: Supporting and motivating team members to achieve their best performance. Providing guidance and training when necessary.
  • Conflict Resolution: Addressing any issues or conflicts within the team or between departments in a diplomatic and effective manner.

5. Communication Skills:

  • Clear Communication: Communicating clearly and effectively with team members, senior leadership, and other departments to ensure alignment and understanding.
  • Stakeholder Management: Coordinating with internal and external stakeholders, ensuring their needs are addressed while maintaining operational objectives.
  • Presentation Skills: Presenting operational updates and reports to senior management or stakeholders in a clear and concise manner.
