Job Description

Under the guidance and supervision of the Assistant HR Manager and or Director of Human Resources and within the limits of the established Rixos Hotel Standards his/her responsibilities are to provide efficient personalized courteous and punctual service to  all employees.                                     

    MAIN DUTIES AND RESPONSIBILITIES:   

 

1.1.1      Maintaining a date database for resumes for future facilitation of recruitment needs

1.1.2      Assist in the recruitment and hiring of all rank & file employee   

1.1.3      Manage the entire recruitment process from coordinating interviews contracting to employee arrivals

1.1.4      Establish and maintain effective employee relations

1.1.5      Coordinate with all departments with regard to Human Resources related activities

1.1.6      Coordinate with the PRO to obtain employee visas and manage the arrival process of new employees

1.1.7      Responsible for the audit of his/her related work area

1.1.8      Maintain MIS for all processes related to his/her work area

1.1.9      Maintain and employees files by regularly filing employees documents

1.1.10    Develop and maintain confidential departmental employee files documents and databases
1.1.11    Coordinate employee recruitment process as appropriate ensuring search documentation is accurate consistent and complete

1.1.12    Coordinate departmental employee relation functions in consultation with the Director of Human Resources / Human Resources Manager monitor and track annual and sick leave accruals

1.1.13    Organize daily incoming correspondence make preliminary assessment and handle/respond as appropriate

1.1.14    Manage the Director of Human Resources diary and ensure that trace file is checked and actioned on a daily basis

1.1.15    Maintain all employee files and handle telephone calls as per Rixos Hotels standard and take messages and prioritize where necessary

1.1.16    Keep calendar constantly updated to facilitate appointment and meeting schedules

1.1.17    Establish and maintain various filing/records/database of business contacts trace pending items and follow up as appropriate

1.1.18  Arrange for various meetings take minutes as well as any management meeting as they arise and draft minutes of meeting to be circulated

1.1.19    Prepare letters memos and other documents using word processing spreadsheet database or presentation software

1.1.20    Handle incoming and outgoing mail including date stamping and distributing incoming mail. Create and maintain computer and paperbased filing and organization systems for records reports documents

1.1.21    Manage the HR departments stationery requirement by procurement through FMC

1.1.22    Implement and evaluate human resources practices to maximize efficiency and effectiveness

1.1.23    Speak with others using clear and professional language prepare and review written documents accurately and completely and answer telephones using appropriate etiquette

1.1.24    Develop and maintain positive working relationships with others support team to reach common goals and listen and respond appropriately to the concerns of other employees

1.1.25    Communicate in a professional positive and courteous manner at all times with all levels of internal and external customers

1.1.26    Handle confidential matters/information with the appropriate level of sensitivity

1.1.27    Ensure compliance with all health hygiene security safety and fire rules & regulations

1.1.28    Take responsibility for own development

1.1.29    Assist the HR team in any administrative tasks they might require assistance for

                         


Qualifications :

Education: Bachelors Degree at least in a related discipline an asset

      Experience: Previous administration or human resources experience  required or Minimum 1 year in a similar role.                                                                  

      Other: Highly organized good computer skills and fluent in reading writing                  and speaking English   

Computer literate in Microsoft Window applications required .  Must be able to type 30 words per minute.                                                                           

Excellent communication and organizational skills.

Strong interpersonal and problem solving abilities.  Highly responsible & reliable. 

Ability to work cohesively as part of a team. 

Ability to focus attention on colleagues needs remains calm and courteous at all times
