Job Description

Roles and responsibilities

Performs general administration and upkeeping of the CAFM System including user training & document development.

PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES:

  • Support the overall administration of CAFM System.
  • Supports in generation of Reports and facilitate distribution with requestor
  • Assists in Training Helpdesk Operators and other users.
  • Perform creation and unlocking of CAFM accounts
  • Support in recording CAFM license subscriptions, ensure accurate recording of license issued to end user.
  • Report CAFM System issues to vendor or relevant IT Department.
  • Coordinate CAFM System function changes to Helpdesk & End users
  • Execute Asset Coding following Engie’s standard Asset Attributes
  • Support Operations Team in developing a balanced PPM Plan using SFG20, ASHRAE, NFPA, OEM or client specific standards.
  • Supports in General Data processing/upload
  • Assist in issuing PPM Work Orders to Operations & Sub- contractors
  • Immediately report system anomalies observed to Line Managers
  • Support in installation of Mobile App & MDM Solution
  • Document, Implement and ensure user compliance to CAFM policy
  • Support in Designing CAFM Training Modules and training plans
  • Liaise with the CAFM provider and Client, and oversee progress of systems integration
  • Support FSI Go deployment and task activity design.
  • Assists in Developing Reports (Crystal Reports, Power BI, Excel)
  • Support in managing Engie Contact Center

  • Technology savvy, with interest in IT & Systems operations
  • Experience in utilizing FSI CAFM System

  • Software Updates and Configuration: Ability to troubleshoot issues, update software, and configure the system based on company needs.
  • Data Entry and Reporting: Ability to enter and manage data related to assets, maintenance, and facilities in the CAFM system, and generate reports for management.

2. Facility Management Knowledge

  • Preventive Maintenance: Understanding of maintenance schedules, tracking service requests, and ensuring timely completion of tasks.
  • Asset Management: Ability to manage the life cycle of assets, track equipment conditions, and optimize usage.
  • Space Management: Knowledge of how to track and manage space allocation and occupancy within facilities.

3. Organizational and Project Management Skills

  • Task Coordination: Ability to coordinate multiple maintenance requests, track progress, and ensure tasks are completed in a timely manner.
  • Project Management: Overseeing projects related to facility improvements, renovations, or upgrades, ensuring they stay within scope, budget, and schedule.
  • Resource Allocation: Efficiently allocating resources (personnel, materials, time) for facility management tasks.

4. Communication Skills

  • Internal Communication: Communicating effectively with the facilities management team, maintenance staff, and other departments regarding task status, issues, or delays.
  • Vendor Management: Liaising with third-party service providers and contractors to ensure that maintenance tasks are completed as requested.
  • Customer Service: Interfacing with employees or building occupants to address facility-related issues or concerns.

5. Technical Skills

  • Maintenance Knowledge: Understanding of basic maintenance principles and procedures, such as HVAC, electrical, plumbing, and general repairs.
  • Troubleshooting: Ability to identify and resolve issues related to the CAFM software or facility operations.
  • Equipment Management: Knowledge of facility equipment maintenance, repair, and lifecycle management.

6. Analytical Skills

  • Data Analysis: Ability to analyze performance data from the CAFM system to identify areas for improvement.
  • Performance Metrics: Track and evaluate metrics such as response times for service requests, completion rates, and equipment downtime.
  • Cost Management: Understanding how to manage and track facility-related costs, optimize budgets, and reduce operational expenses.
