ITP Media Group is looking for an ambitious Events Executive to contribute to the execution of its annual stable of industry and consumer events. The ideal candidate will have experience working on experiential marketing activations be highly organised and keen to grow in the events sector. You will have a strong understanding of the elements needed to execute events such as conferences and gala dinners to a high level have a keen eye for detail and excited by the idea of new formats and future trends in the events industry.



Requirements

KEY RESPONSIBILITIES


The Events executive will primarily be responsible for but not limited to the following:

  • Work with the division s Event Manager editorial and commercial leads to plan both brand and clientled events.
  • Handling a variety of undertakings including:
  • Managing clients and sponsors
  • Managing suppliers and venue contacts
  • Overseeing ticket / table sales
  • Liaising with the editorial and commercial teams on assets and branding
  • Support and contribute to the innovation of our events portfolio having your finger on the pulse and being quick to identify new trends in the event industry and how they translate to our brands
  • Support the endtoend management of events across a broad spectrum of scales from industryfacing gala dinners seating 1000 people to intimate popup live music nights for a consumer audience.
  • Support the editorial and commercial teams by drawing up media partnerships for brands as agreed with the editorial and commercial leads.
  • Ensure events are delivered to a high standard and in accordance with the department s brand guidelines goals and objectives
Technical Competencies
  • Bachelor s Degree in event management or 4 years equivalent work experience in a related field
  • At least 4 years of industry related experience
  • Industry knowledge of building and managing conferences gala dinners and experiential marketing

PERSON REQUIREMENTS

  • A demonstrable passion for event management and execution
  • Bursting with creative ideas for new events and experiential formats and IPs
  • Equally excited by large and smallscale projects and events
  • Highest standard of accuracy and attention to detail.
  • Excellent organisational skills and ability to prioritise accordingly.
  • Experience managing external suppliers and demanding clients
  • The ability to work quickly to tight deadlines under pressure.

QUALIFICATIONS

  • Must have a minimum of two years experience in events

EXPERIENCE

  • Previous experience working on consumer or B2B events at large scale
  • Previous experience working on consumer or B2B events at small scale
  • Previous experience managing suppliers
  • Previous experience managing clients


Knowledge and Proficiency: Proficient in creating new opportunity and sale presentations as directed by the General Manager - assisting in path planning, project management, client relations, budgeting, reporting, and general administration. Skilled in sourcing and synthesising information from diverse sources. Proficient in managing partnership packages to ensure delivery of promised print, digital, and social outputs. Knowledge of all integral systems Trello, Zoho, Google Drive, Magnet (training provided) Knowledge of the internal order approval system, key contacts, and paperwork requirements (training provided) Management of the internal month-end closing process across the group Proficient in creating post campaign reports and analysis for key accounts within the group. Management Responsibilities: Management of order workflow across commercial and editorial team - managing editorial and commercial operations across digital, print, and experiential businesses, overseeing resource allocation to achieve targets. Management of Trello across commercial and editorial team - supporting commercial and PR content requests, tracking deliverables, and ensuring editorial commitments are met. Opportunity to represent the brands at key industry events. Project and Account Management: Assist in managing wider teams' projects and accounts throughout their leave periods as needed - acting as a primary liaison across departments, addressing queries, troubleshooting issues, and escalating matters as needed. Establishing, implementing, and supporting the brands events calendar, working and follow-up files for the teams. Assist the teams pre, during, and post-events (guest management, logistics, operations, communication, information, and material management). Supporting the delivery and attending brand events across the group where needed. Media Planning and Relationship Management: Independently conduct media planning based on client briefs and foster relationships to drive comprehensive annual planning whilst identifying commercial opportunities for optimal brand investment. Requirements: Own valid visa Immediate, full-time availability for a 6-month contract period Transport to the office and events
