GRADE Refrigeration is an Industrial Refrigeration contractor operating in the MENA region. The Supply Chain Administrator will dedicate himself to the best of his ability to improve the profitability of the Company and its affiliates. The Supply Chain Administrator will be reporting directly to the Procurement & Logistics Manager.
Your tasks
- Support Procurement and Logistics team in Sorting, dispatching, filing and processing invoices and other documents.
- Creating Purchase orders in ERP for processing Invoices.
- Timely, accurate and efficient preparation and management of SCM documents.
- Control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced for SCM team by Technical, Projects or other departments.
- Filing and archiving relevant documentation.
- Creating templates for documents, file types, and document databases.
- Checking and editing documents for accuracy and compliance.
- Controlling the flow of documents in and out of the department.
- Generating Goods Received Notes (GRN).
- Analyzing data for process improvement and collaborating with suppliers and internal teams.
- Support the smooth-running of the supply chain department through administrative duties.
- The accurate recording and tracking of file movements within the organization.
- Set up, copy, scan and store documents.
- Manage requests for documentation.
- Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date.
- Maintain confidentiality around sensitive documentation.
- Ability to generate reports and prepare presentations.
- Negotiation and inter-personal skills.
- Ability to prepare, analyze and understand feasibility study and market study updates.
- Very good command in English communication both written and verbal.
- Secure additional information on departmental/office needs and may prepare recommendation on vending sources.
- Search and qualify new suppliers based on the project’s needs.
- Examine and analyze departmental/project purchasing needs to set an effective procurement plan.
- Routinely interpret GRADE purchasing policy, process, and procedures to provide recommendation about areas of consideration to the Procurement/Logistics Manager.
- Help manage and track all GRADE purchases with vendors and requestors including contract duration and expiration.
- Seek new vendors who may qualify to do business with GRADE and identify vendors for purchasing.
- Ensure updated vendor database and items master list.
- Support Supply Chain Officers whenever necessary.
- Track Project, General Materials orders and delivery times.
Your profile
- Bachelor Degree in Engineering / Business Administration / Finance/ others or Relevant Certificate.
- 3 years of experience as administrator/document controller with basic knowledge in Procurement and Logistics.
- Proficient in MS Office Excel and Word.
- Knowledge in ERP system / MS D365.
