Database Management
- Create update and manage records on the legal database management software (DIAMS) for all brand enforcement matters including oppositions observations invalidation actions cancellation actions cease and desist notices website/social media page takedowns customs recordals customs seizures and litigation proceedings for the APMEA region
- File emails documents and images of samples into the relevant legal database record
- Handle the daily agenda for designated IP Counsel(s) and ensuring all action points/reminders are completed each day and all deadlines are under control manage and prioritize the IP Counsels caseloads send reminders to appropriate team members business contacts or external counsels to ensure ongoing movement of cases
Administrative Support
- Provide general administrative assistance to the IP legal team including obtaining AI translations scanning printing creation of reports/PPTs INTA preparations and travel arrangements
- Review and handle Invoices from external counsels and help oversee legal budgets
Professional legal support
- Arrange watch notice reports for the IP Counsels review update the watch notice management system seek external counsel advice as instructed by the IP Counsels coordinate with external counsels for clarifications when necessary
- Ensure Customs watch recordals are renewed and maintained deal with local business units under the direction of the IP Counsels in seizures and assist in the preparation of Customs training materials
- Create and send standard documents and reports as required by the IP Counsels or external counsels collating evidence as required
Qualifications :
- 5 years of IP legal experience as a paralegal either in a law firm or in-house supporting a team of lawyers
- Mandatory to have strong knowledge and extensive prior use in managing and updating IP software databases (DIAMS preferable)
- Expertise in PPT Excel and AI tools.
- Excellent communication and interpersonal skills.
- Excellent organizational skills with experience in docketing cases managing deadlines prioritizing and planning large volumes of workload
- Strong research and analytical/comprehension skills with good attention to detail
