Job Description

Job Summary

To accomplish the set department objectives by supervising the designated staff, organizing and monitoring the work process in line with the set norms and standards to effectively manage and coordinate persons, activates, and available resources in order to accomplish the objectives set forth by the HO and property owner.

The facility supervisor will live in the camp and all living expenses will be covered.

Duties and Functions

Management :

1. Accomplishes the targeted job results by planning, monitoring designated staff

2. Appraising job results; conducting OJT; implementing and enforcing systems, policies, and procedures.

3. Develops schedules; assigns and monitors work; gathers the required resources; implements the mandated productivity standards; resolving operations problems where applicable.

4. Controls expenses by gathering and submitting mandated information; scheduling expenditures; monitoring variances; implementing corrective actions.

5. Identify areas of raising efficiency and effectiveness and to improve performance, policies, and programs

6. Endeavor to develop and succeed in maintaining appropriate company image that strives towards excellence in satisfying customers

7. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications.

8. Contributes to team effort by accomplishing related results as needed.

Financial:

  1. Maintain accurate records of all community transactions and submit on timely basis.
  2. Provide constant vendor/contractor communications concerning scheduling, billing, and vendor relations.
  3. Ensure that invoices are submitted to the corporate office for payment, handle petty cash and all funds.

Administrative:

1. Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow

2. Ensure current resident files are properly maintained.

3. Ensure all administrative paperwork is accurate, complete and submitted on a timely basis.

Resident Retention:

1. Deal with resident concerns and requests on timely basis to ensure resident satisfaction with management.

2. Ensure distribution of all company or Complex-issued notices.

Resident Relations:

  1. Maintain a positive customer service attitude.
  2. Periodic inspection with resident’s move-in/move-outs.

Personnel Management:

  1. Consistently use successful techniques and company directives to orient and train new personnel
  2. Ensure efficiency of staff through ongoing training, instruction, counseling and leadership.
  3. Plan weekly/daily Complex staff schedules and assignments.
  4. Coordinate maintenance schedule and assignments with Maintenance Team.
  5. Administer action plans consistently, and on a timely basis with performance problems. Document appropriately, communicate situation to supervisor.

Maintenance:

  1. Physically walk and inspect Complex on a regular basis; check on vacant apartments.
  2. Work closely with Maintenance Supervisor to monitor and schedule all maintenance activity.
  3. Ensure that Buildings and premises are walked daily and communicate any service related needs to maintenance.
  4. Ensure that all service requests are recorded and communicated appropriately to maintenance.

Policy and Procedure:

  1. Maintains a safe and healthy work environment by establishing and enforcing organizational standards and adhering to legal regulations.
  2. Ensure the implementation of all organizational policies and procedures
  3. Ensure the implementation of all regulatory and SLA protocols
  4. Ensure commitment to all QHSE protocols and procedure as per organizational and official requirements

Reporting:

  1. Provides written reports in the appropriate medium as per schedule
  2. Provides research and documentation for all required matters

Skills

Education

  • Preferable academic background in economics, finance, engineering, or other related fields

Professional Experience

  • 5 – 8 years of related experience

Competencies Required

  • Proficiency in contract management, auditing procedures, legal regulations.
  • Excellent communication skills
  • Excellent organizational skills
  • Required numerical, administrative and IT skills
  • Negotiation skills
  • Physically and mentally fit for the job.
