Job Description

Our client, an art gallery, is currently looking for a Coordinatorto be based in Dubai, UAE. In this role, you will be responsible toadministrate and coordinate programs and operations at the art gallery.

Reporting to the art manager, you will be responsible for taking care of the business operations of the gallery, handling the activities, and administrating the internal processes. You will also be involved in interacting with artists, suppliers, visitors, and internal staff.

Other job responsibilities include, but are not limited to:

  • Support in activities related to purchasing and payment for goods and services required by gallery including obtaining quotes from suppliers, preparing purchase requisitions and purchase orders, requesting invoices, tracking payments, monitoring expenditure against budgets, and keeping accurate records of expenditure.
  • Assist in activities related to arranging interviews, meetings, scheduling appointments, taking meeting minutes, incoming/outgoing correspondence, arranging/distributing invitations, thank you letters, and gifts to artists, participants, partners, and stakeholders.
  • Research/contact organizations or individuals for events.
  • Handling internal requests.
  • Monitoring internal activities.
  • Research and approach suppliers.
  • Purchasing materials from shops.
  • Coordinating event operations.
  • Coordinating and assisting curators and artists during installation and dismantling.
  • Office and organizational management including preparing, managing, and reporting on budgets and financial reports.
  • Periodically monitors the safe display of the artworks.
  • Oversee daily operations, activities, and exhibitions.
  • Handle all customer requests.
  • Answer public and professional inquiries.
  • Receive and reply in a timely fashion to a large volume of emails.
  • Understand the process of event organization and managing RSVPs for events.
  • Organize/update database of contacts and member information.
  • Perform other tasks related as they arise and as delegated.

Requirements

To be considered for the role,you need to meet the following criteria:

  • Bachelor’s degree in business administration or any other relevant field.
  • Has a passion and strong knowledge within the Arts industry.
  • A minimum of 2 years of relevant experience working in a similar role.
  • Proficient in English language; Arabic is optional.
  • Strong command in computer skills and applications including MS Office Suite.
  • Knowledge of art galleries standards and an understanding of Islamic and Arab culture and practices.
  • Candidates must be able to work 6 days a week from Saturday to Thursday, 10 AM to 7 PM.
