Job Description

Roles and responsibilities

The Event Production Manager will oversee the execution of complex event programs, ensuring seamless planning and delivery of high-quality experiences. This role demands a combination of creativity, technical knowledge, and exceptional organizational skills. The manager will lead projects that integrate various teams and technologies, ensuring alignment with organizational goals and timelines. Key responsibilities include:

  • Event Planning & Execution:
  • Manage end-to-end planning and execution of events, ensuring smooth coordination across all stakeholders and teams.
  • Project Leadership:
  • Lead the execution of diverse projects such as website pages, applications, integrated campaigns, and photo shoots, while coordinating with relevant teams.
  • Technical Collaboration:
  • Assist in projects involving web and mobile development technologies to ensure user-friendly digital experiences.
  • Creativity & Innovation:
  • Develop engaging user experiences that align with event objectives and enhance audience engagement.
  • Adaptability & Problem Solving:
  • Thrive in a fast-paced environment, adapting to changes and proactively troubleshooting challenges.

Requirements/Qualifications

  • Education:
  • Bachelor’s degree in Event Management, Marketing, Hospitality, or a related field.
  • Experience:
  • 8 to 10 years of proven experience in event planning and management.
  • Demonstrated ability to manage complex event programs involving multiple stakeholders and diverse organizational teams.
  • Skills & Expertise:
  • Strong multitasking and prioritization skills with the ability to manage timelines effectively.
  • Experience in leading projects involving digital marketing assets such as websites, applications, and integrated campaigns.
  • Familiarity with web and mobile development technologies.
  • Ability to design creative and engaging user experiences.
  • Attributes:
  • Thrives in a high-growth, fast-paced environment and adapts well to change.
  • Resourceful with strong anticipation and troubleshooting skills.

Desired candidate profile

  1. Production Planning

    • Developing detailed production plans that define schedules, resource allocation, and budgets.
    • Coordinating with other departments (e.g., procurement, logistics) to ensure the timely availability of materials and resources.
  2. Workforce Scheduling

    • Creating efficient work schedules for production teams to meet production goals while avoiding overtime costs.
    • Monitoring attendance and performance to ensure production timelines are met.
  3. Forecasting and Demand Planning

    • Analyzing historical data and market trends to forecast production demands and plan for peak periods.
    • Adjusting production schedules and workflows based on fluctuations in demand or supply.

Quality Control and Process Improvement

  1. Quality Assurance

    • Implementing and maintaining quality control standards to ensure products meet the required specifications and safety regulations.
    • Conducting inspections and tests to identify defects and ensuring corrective measures are taken.
  2. Process Optimization

    • Analyzing production processes and identifying opportunities to improve efficiency and reduce costs.
    • Implementing lean manufacturing or continuous improvement methodologies, such as Six Sigma or Kaizen, to optimize workflows.
  3. Compliance with Standards

    • Ensuring that production processes comply with industry regulations, safety standards, and environmental policies.
    • Managing audits and inspections to ensure compliance with legal and quality standards.

Team Management and Leadership

  1. Team Leadership

    • Leading, motivating, and managing production teams to ensure productivity, safety, and morale.
    • Setting clear goals, providing regular feedback, and fostering a positive team culture.
  2. Training and Development

    • Providing ongoing training to production workers on best practices, safety protocols, and new equipment.
    • Identifying skill gaps and arranging for additional training or hiring of specialists where necessary.
  3. Conflict Resolution

    • Handling conflicts that arise within the production team, such as disputes over roles, responsibilities, or performance issues.
    • Ensuring that the team works cohesively and effectively to meet production goals.

Budget and Resource Management

  1. Budgeting and Cost Control

    • Creating and managing production budgets, ensuring costs are controlled and that production goals are met within financial limits.
    • Identifying cost-saving opportunities while maintaining product quality and production standards.
  2. Inventory Management

    • Overseeing inventory levels to ensure that materials are available for production without causing delays.
    • Managing stock levels, raw material procurement, and waste reduction strategies.
  3. Resource Allocation

    • Allocating resources (e.g., personnel, equipment, materials) efficiently to meet production demands.
    • Ensuring that production equipment is properly maintained and that any downtime is minimized.
