Job Description

Roles and responsibilities

Key Responsibilities:

Event Strategy and Planning:

  • Develop and implement comprehensive event strategies aligned with client objectives and brand guidelines.
  • Oversee all aspects of event planning, from concept development to execution.
  • Manage budgets, timelines, and resources to ensure successful event delivery.

Team Leadership:

  • Lead and mentor a team of event professionals, providing guidance and support.
  • Foster a collaborative and creative work environment.

Client Relationship Management:

  • Build and maintain strong relationships with clients, understanding their needs and exceeding expectations.
  • Present innovative event proposals and secure client approvals.

Vendor Management:

  • Source and manage relationships with vendors, including venues, caterers, suppliers, and production companies.
  • Negotiate contracts and ensure quality standards are met.

Event Execution:

  • Oversee on-site event execution, ensuring seamless coordination and problem-solving.
  • Monitor event timelines and budgets, making adjustments as needed.

Post-Event Analysis and Reporting:

  • Evaluate event performance and gather feedback from clients and attendees.
  • Prepare detailed event reports, including financial analysis and key performance indicators.

Qualifications and Job Description

• Bachelor’s degree in Event Management, Marketing, Hospitality, or related field.

• Minimum 12 years of experience in event planning and management, with a proven track record of successfully executing large-scale event.

• Strong leadership skills with the ability to inspire and motivate cross-functional teams.

• Exceptional project management capabilities, including budgeting, scheduling, and resource allocation.

• Excellent communication, negotiation, and client relationship management skills.

• Creative thinker with a passion for innovation and pushing the boundaries of event design.

• Proficiency in event management software and tools.

• Flexibility to travel and work extended hours, including evenings and weekends, as required.

    • Leading and managing an events team, including event planners, coordinators, and external vendors.

  3. Vendor and Stakeholder Management

    • Building strong relationships with vendors, contractors, and sponsors.
    • Negotiating contracts, ensuring vendors meet expectations, and managing relationships.

Strategic Planning and Execution

    • Creating event strategies that align with business goals, branding, and target audience.
    • Setting clear objectives and KPIs for each event to measure success.
  2. Project Management

    • Leading all phases of event planning, from conceptualization to execution.
    • Managing timelines, budgets, and resources efficiently to deliver high-quality events.
  3. Budgeting and Financial Management

    • Creating and managing event budgets, ensuring cost-effective solutions without compromising quality.
    • Tracking expenses and providing financial reports post-event.

Event Design and Conceptualization

  1. Creative Vision

    • Designing innovative and engaging event concepts that align with brand identity and objectives.
    • Incorporating unique themes, experiences, and content into events to captivate attendees.
  2. Logistics Management

    • Handling all logistical aspects of events, including venue selection, catering, transportation, and staffing.
    • Ensuring all details are in place for a seamless experience.
  3. Audience Engagement

    • Creating experiences that resonate with attendees, from networking opportunities to interactive activities.
    • Ensuring the event fulfills attendee expectations and enhances their overall experience.

Communication and Public Relations Skills

  1. Stakeholder Communication

    • Effectively communicating event details, expectations, and status updates to internal and external stakeholders.
    • Serving as the main point of contact for high-level executives, sponsors, and media.
  2. Public Speaking and Presentation

    • Delivering presentations to key stakeholders and event participants.
    • Serving as an ambassador for the company or organization during public events.
  3. Marketing and Promotion

    • Collaborating with marketing teams to create promotional materials and strategies.
    • Leveraging social media, email campaigns, and other channels to drive event attendance.
