Roles and responsibilities
Specifically, you will be responsible for performing the following tasks to the highest standards:
- Carry out daily administrative activities of the Engineering office while adhering to Hilton Standards, policies and Procedures
- Provide secretarial support to the Engineering team
- Ensure all communications, particularly relating to owners, guests and the corporate office are handled promptly and professionally
- Receive and distribute mail
- Ensure outgoing mail is dispatched in a timely manner
- Provide minutes to Engineering Team Meetings and compile management reports in a timely and accurate manner if necessary
- Maintain adequate supplies of office stationary
- Identify and build internal and external relationships
- Carry out all filing
- Comply with all key security mandates
- Report any maintenance issues or hazards
- Maintain own work area in a clean, tidy and good manner
- Report defective materials and equipment
- Assist with special projects related to the Engineering Office
- Perform other tasks as assigned by management

Technical and Engineering Knowledge
- Understanding of mechanical, electrical, and plumbing systems: Have a solid understanding of building systems, equipment, and utilities, including HVAC, electrical wiring, plumbing, and mechanical operations.
- Maintenance and repair expertise: Experience with preventive and corrective maintenance, ensuring that all equipment and systems are functioning optimally.
- Building codes and regulations: Familiarity with safety and environmental regulations, as well as local building codes and industry standards, to ensure compliance.
- Equipment troubleshooting: Ability to identify problems and perform troubleshooting to resolve issues with machinery, systems, or electrical components.
Project Management Skills
- Scheduling and planning: Coordinate and schedule maintenance activities, repairs, and installations to minimize disruptions to operations or guest experience.
- Resource management: Ensure that the necessary tools, materials, and staff are available to complete tasks efficiently.
- Budgeting: Help manage budgets for engineering projects, maintenance supplies, and equipment, ensuring cost-efficiency without compromising quality.
- Time management: Prioritize tasks and manage multiple projects, ensuring deadlines are met and resources are allocated effectively.
Communication and Interpersonal Skills
- Clear communication: Provide clear and concise communication between engineering teams, other departments, and external vendors or contractors.
- Team collaboration: Work closely with maintenance staff, contractors, and other departments to ensure seamless operations and collaboration.
- Customer service: Respond to requests from other departments or guests in a polite, helpful, and timely manner.
- Conflict resolution: Handle any disputes or issues effectively, particularly in situations where technical problems may cause disruptions.
Organizational Skills
- Record-keeping and documentation: Maintain accurate records of maintenance schedules, completed work, and equipment inventories. Document all engineering-related activities for future reference and compliance purposes.
- Inventory management: Monitor and manage stock levels of engineering materials, spare parts, and tools to ensure that critical items are always available.
- Contractor coordination: Manage relationships with external contractors and vendors, ensuring they meet service level agreements and project deadlines.
Problem-Solving and Analytical Thinking
- Issue resolution: Quickly identify the root causes of engineering problems and develop effective solutions, whether dealing with machinery breakdowns, power failures, or plumbing issues.
- Continuous improvement: Proactively identify areas for improvement in engineering systems, processes, or equipment and implement corrective measures.
- Preventive maintenance: Develop and implement strategies for routine inspections and preventive maintenance to reduce the likelihood of breakdowns or unplanned outages.
