Ensure that the premises front and back of “the offices” are presentable and always reflecting the professional image of Majid Al Futtaim for clients and customers. Maintain and care for assets (plants/furniture/equipment/electronics)
Receiving calls at the reception and assigning to the right team member and taking down customer’s message and ensuring the customer is called back accordingly.
Greeting and welcoming customers and guests professionally and ensure every visit is registered and assigned to the right team member
To organize meetings for Senior Management and handle meeting calendars accurately and promptly.
Allocate and book meeting rooms for employees when requested
Ensure meeting rooms are kept tidy throughout the day by liaising with the Office Assistants.
Job duties may be clerical, administrative, and project-based and include scheduling travel, arranging meetings/corporate events, handling information requests, personal expenses, preparing reports and correspondence and liaising with different levels of management.
Ensure all the service delivery levels are met (e.g., yearly pest control, AC yearly cleaning, carpets, walls, lights, furniture heavy duty deep cleaning)
Reporting and action (by addressing it to the right Line Manager/person/department) ex. poor level of cleanliness, maintenance issues, behavioral concerns or anything that may affect the positive image of the organization and the customer journey.
Ensure incoming/outgoing post is logged accordingly. Undertake a range of other administrative tasks as identified by the Line Manager
