Job Description

What you'll do:

As an Executive Assistant and Office Manager, you will play a pivotal role in ensuring smooth operations within our Singapore office. Your ability to multitask will be crucial as you juggle various responsibilities such as document management, visitor coordination, receipt screening, meeting room management, supply monitoring, and courier liaison. Additionally, your interpersonal skills will shine as you build relationships across our global offices. This role requires a meticulous eye for detail, excellent organisational skills, and a commitment to supporting your team.

  • Oversee the operation of the office and provide support to team members across the Singapore office
  • Coordinate complex global travel arrangements, including flights, accommodation, and document pack publication
  • Manage the team's diaries/calendars and coordinate meetings locally and globally across different time zones
  • Support document creation and management across a broad range of formats
  • Meet and greet visitors, coordinate hospitality, and build good business relationships across the group and its global offices
  • Screen and check receipts against individual's travel expense claims before submission
  • Manage the meeting room calendar, prepare meeting rooms ahead of meetings as required, receive and sort mail and other deliveries
  • Monitor and order stationery and kitchen supplies, liaise with courier companies on costs and collections

What you bring:

The ideal candidate for this Executive Assistant/Office Manager role will bring a wealth of experience in office administration, particularly within the financial services industry. You will have a strong academic background, ideally with qualifications in secretarial or business studies. Your excellent commercial acumen and high levels of integrity will be matched by your ability to multitask and prioritise workload effectively. A team player, you will have excellent interpersonal skills and a focus on collaboration. Your experience in providing administrative support in an investment or finance company will be highly valued, as will your professionalism, discretion, and self-starter attitude.

  • Degree/Diploma or equivalent; secretarial or business studies or relevant field would be advantageous
  • Previous experience within the financial services industries preferred
  • Excellent commercial acumen including high levels of integrity
  • Being accountable in taking on their responsibilities independently
  • Ability to multitask and prioritise workload using time management and good organisation skills
  • Excellent interpersonal skills with a high focus on collaboration
  • Administration support experience in an investment or finance company ideally supporting a team
  • Professionalism, discretion, self-starter attitude
  • Excellent written and spoken English; strong communication skills
