Key Accountabilities:
Perform general administrative and clerical support including mailing scanning faxing and arrange daily driver schedule
Provide administrative service to supervisor to streamline and organize work.
Perform data entry job by collecting and entering data in databases and maintaining accurate records for easy and on time retrieval:
o Compile verify accuracy and sort information according to priorities to prepare source data for computer entry.
o Review data for deficiencies or errors correct any incompatibilities if possible and check output.
o Research and obtain further information for incomplete documents.
o Generate reports store completed work in designated locations and perform backup operations.
o Scan documents and print files when needed.
o Keep information confidential.
o Respond to queries for information and access relevant files.
o Comply with data integrity and security policies.
Perform clerical duties including photocopy process forms maintain office files and records.
Maintain various forms (hard copy and/or electronic) of documentation such as reports presentations and emails as required by the supervisor and or team members to retrieve data efficiently and timely.
Facilitates and liaises with internal communications on awareness campaigns and programs such as HR cascades Health & awareness sessions etc.
Maintain an adequate level of office supplies
Performs other duties assigned by the manager / Head of the department
Comply with the Company Quality and Occupational Health and Safety Policies.
Apply the Quality Policy and Quality System established in accordance with ISO 9001:2008 international standards and execute all responsibilities according to the department work procedures while reflecting EKFC Quality Policy.
Essential Requirements and Competencies
Should have completed a minimum of one year in the current department
Candidate should be free of any outstanding warnings or disciplinary
Candidate should be FC02 & Above
Higher Secondary Certificate or equivalent qualification.
Minimum 2 years* experience in a similar administrative assistant role
Knowledge of relevant software applications including MS Office
Proficient in use of email and internet
Good numeracy skills
Accurate keyboard skills
Knowledge of office management systems and procedures
Good interpersonal people skills are important because information clerks deal with the public
