• Provide administration and secretarial support to the banquet team including organizing meetings, handling the calendar, researching issues, tracking action item completion, and managing other administrative requirements as required.
• Act as first point of contact for both internal and external parties who wish to contact or meet the Event Department and screen the requests to ensure those with genuine and important reasons are given priority. Act as a focal point for the administration and communication of all activities related to the Events function.
• Set and maintain the folders for incoming and outgoing correspondence regarding group bookings, ensure that filing is neat, systematic, and easy to locate.
• Prepare group menus and meeting delegates’ place cards, prepare sales kit, banquet kit and thank you letters for the banquet team. Maintain adequate souvenir and office supplies for banquet department.
• Monitor and update group banquet reservations and ensure that there are no discrepancies in banqueting reservations in the hotel’s main frame. Remind the client of cut-off dates as per the contract.
• Complete day-to-day activities by following all relevant departmental policies, processes, standard operating procedures, and instructions so that work is carried out in a controlled and consistent manner while delivering a quality service to guests and maintaining standards of excellence.
• Adhere to all relevant Health, Safety and Environment procedures, instructions, and controls so that Jumeirah Group provides world class and luxurious hospitality services to its guests.
