- Managing meeting rooms & auditorium bookings in the Vision Center.
- Receive the emails addressed to the Vision centers & forward them to the appropriate persons.
- Sending packages via DHL and liaising with customer service to keep up to date with customs changes/packing changes and invoicing regulations.
- Receiving courier packages
- Placing supplier orders (stationary/groceries/consumables)
- Ordering lunch, during office events / arranging catering for large office events.
- Helping guests and managing the guest sign in book
- Issuing and tracking guest access cards
- Ensure office set up and seating during customer events in the office.
- Organize training materials & certificates to printed (proofing names, artwork and coordinating delivery)
- Ordering process and inventory update for reagents used for trainings.
- Updating inventory stocks on weekly bases and communicating the current stocks with the trainers.
- Prepare and create Guest Wi-Fi password for customers and guests.
General Office-related duties:
- Answer phone calls (take messages, transfer to appropriate persons)
- Ensuring the reception area is presentable and clean.
- Collecting details and information from potential new suppliers & hotels. Passing to relevant persons
- General filing
- Coordinating with building maintenance and IT teams to solve daily maintenance / IT issues.
- Receiving PR documents from PR Manager / passing to relevant employees
- Receiving essential documents (passport/ID cards etc) and passing to either PR Manager or Zajel
- Directing/managing office helpers and liaising with their employers (if cover is to be organized etc).
- Action any ‘special requests’ from associates relating to stationary, or office equipment.
- Ensuring the correct approvals are obtained from management for any specific purchases.

The essential requirements of the job include:
- Experience in events
- Excel Proficiency
- Good MS office computer skills
It would be a plus if you also possess previous experience in:
- 5 years admin experience, 3 years event coordination
- Relevant education background
