Job Summary/Purpose:
Butler Administration Officer provides administrative support to the Butler Service department to ensure a smooth daily operation between all hotel departments and with guests. Butler Administration Officer supports colleagues through a variety of tasks related to organization and communication.
RESPONSIBILITIES
1. Knowledge
- To have thorough knowledge of all SOPs for Butler Service department
- To have thorough knowledge of local rules and regulations
- To have knowledge of the designated PMS (Property Management System) of the hotel and online platforms used for task delegation and distributing information
- To be fully aware of Raffles Brand Standards and Values have thorough knowledge on LQA and similar quality-oriented standards
- To adhere to Butlers standards and procedures and enforce the same
2. Service
- Foster Raffles Values; Respect Belonging Integrity Empowerment and Excellence
- Internalize Raffles Brand personality; Charming Graceful Thoughtful Welcoming
- Go extra mile to make sure all guest needs are not just met but exceeded.
- Assist and support team members and other departments in order to ensure a smooth operation
- Create relationship with all heartist that is based on open and sincere communication which leads to building long lasting trustful relationships
3. Operations
- Answer and direct phone calls
- Correspond with guests in person or via Digital communications and assisting guests in the same manner for the duration of stay
- Produce and distribute memos letters and forms related to department operation
- Regularly attend department line-ups and meetings to communicate any pertinent information and to assist in any needed activity.
- Attend training sessions perform related duties and special projects assigned as required.
- Receive record and distributes various reports via the PMS
- Receive record and transmit guest requests accurately to the team by utilizing technological platforms
- Manage and exceed guest expectations
- Handle delegate and report guest complaints to shift in-charge.
- Organize and track VIP arrivals. Trace special occasions. Ensure that these are followed up on appropriately.
- Maintaining daily checks on the availability of private bar items across the hotel and ensuring that items are efficiently ordered when stocks are low
- Maintaining weekly checks on spending of Butler Supplies including but not limited to: office supplies tea/coffee/water and other complimentary services related to butler services
