Roles & Responsibilities
The Lead Expeditor is responsible for overseeing all expediting activities across the project and ensuring that materials equipment and vendor documentation are delivered according to schedule. This role provides direction to expeditors coordinates with vendors and internal teams and acts as the main point of escalation for delays or critical procurement issues. The Lead Expeditor ensures the overall expediting strategy supports the projects execution plan and drives on time delivery for all major packages.
Leadership and Oversight:
- Supervise and guide expeditors assigned to the project ensuring consistent and effective follow up on all Purchase Orders.
- Review expediting plans progress reports and recovery actions prepared by the team.
- Act as the escalation point for critical delays issues or vendor nonperformance.
- Coordinate closely with the Project Procurement Manager to align expediting priorities with project milestones.
Vendor Progress and PO Management:
- Monitor progress of long lead and critical equipment packages.
- Secure updated fabrication schedules production curves and delivery forecasts from suppliers.
- Hold regular meetings with vendors to review progress identify risks and agree on recovery measures.
- Drive early intervention actions when slippages are identified.
Vendor Documentation Control:
- Oversee the tracking of all vendor documentation and ensure timely submission and approval cycles.
- Coordinate with Engineering Document Control and QA/QC to resolve bottlenecks or overdue reviews.
- Ensure that document progress aligns with manufacturing readiness and inspection requirements.
Cross Functional Coordination:
- Work closely with Engineering QA/QC Logistics Planning and Construction teams to maintain alignment on delivery priorities.
- Support Logistics with packing lists shipping notices readiness for dispatch and customs documentation.
- Provide project teams with accurate updated and realistic delivery forecasts.
Reporting and Governance:
- Prepare consolidated weekly and monthly expediting reports for management.
- Verify accuracy of expediting data in tracking tools dashboards and ERP systems.
- Lead vendor progress review meetings and present status updates to the project leadership team.
- Maintain full visibility and documentation of all communications progress updates risks and recovery actions.
Vendor Visits and Inspections:
- Conduct or lead shop visits for major or high-risk packages to confirm fabrication progress.
- Coordinate with QA/QC for inspection readiness FAT scheduling and closure of quality documents.
- Provide detailed visit reports highlighting risks issues and required corrective actions.
Compliance and Vendor Performance:
- Ensure all vendor activities meet PO terms specifications and quality requirements.
- Support resolution of NCRs deviations and delays that affect the project.
- Contribute to the vendor performance evaluation process with accurate feedback on delivery documentation and responsiveness.
Desired Candidate Profile:
- Bachelors degree in Engineering Supply Chain Business or a related field.
- Typically 712 years expediting experience in EPC projects with at least 23 years in a lead or supervisory role.
- Strong knowledge of mechanical electrical instrumentation and structural equipment manufacturing.
- Experience with ERP systems such as SAP Oracle or Infor.
- Strong understanding of end to end EPC procurement and fabrication workflows.
- Strong leadership communication and negotiation skills.
- Ability to read technical drawings and understand complex manufacturing processes.
- Strong analytical thinking problem solving and decision making.
- High level of organization and ability to manage multiple priorities.
- Confidence in dealing with senior vendor representatives and internal stakeholders.
