Executive Support and Strategic Coordination
- Calendar and Schedule Management: Efficiently manage the CEOs calendar scheduling meetings conferences and travel arrangements to optimize time and priorities;
- Communication Liaison: Serve as the primary point of contact between the CEO and internal/external stakeholders ensuring smooth communication and timely responses;
- Document Preparation: Draft edit and prepare reports presentations and correspondence for internal and external use maintaining a high standard of professionalism.
Operational Oversight
- Project Management: Assist in the coordination and execution of strategic projects ensuring deadlines are met and objectives are achieved.
- Board and Executive Meetings: Organize and facilitate board meetings including agenda preparation minute-taking and follow-up on action items.
HR Coordination
- Act as HR Group Local relay;
- Provide a confidential HR support to all employees;
- Work closely with the line manager to resolve performance/disciplinary issues in coordination with the HR Team in Geneva;
- Support and coach managers to ensure the effective management of colleagues and to deal with sensitive employee relations matters;
- Participate in the implementation of local policies and procedures relating to Employee Relations matters;
- Conduct interviews for employees leaving the company and coordinating the termination process locally and coordinating the termination process locally & with HR Group;
- Facilitate smooth onboarding process coordinating with cross-functional departments to deliver a great first-day experience;
- Ensure the preparation and timely delivery of internal announcements (new joiners organizational changes);
- In close coordination with the Recruitment team in Geneva coordinate the recruitment process for the Dubai Platform.
Qualifications :
- University Degree in Economics Finance or Law;
- Min. 10 years experience in a similar role in a Bank or Family Office preferably based in the DIFC and DFSA regulated. Experience in project and HR management;
- Excellent organizational skills excellent communication and interpersonal skills open and approachable natural team player and ability to interact with different cultures;
- Fluent in English Arabic and/or French a plus.
