Job Description

Roles and responsibilities

  • Put health & safety best practices first in all work carried out ensuring compliance with all health & safety standards and regulations.
  • Carry out planned preventative maintenance on the full range of equipment within the site.
  • React quickly to breakdowns, communicate clearly with affected parties and work efficiently to fix the issue.
  • Support continuous improvement by learning from breakdowns and sending feedback and suggestions for improvements through the line manager.
  • Provide high levels of equipment availability to our internal customers.
  • Support and learn from Senior Reliability Engineering Technicians.
  • Management of contractors.

Basic Qualifications

  • Multi skilled in either electrical or mechanical disciplines.
  • Experience of planned preventative maintenance systems.
  • Experience fault finding within MHE (Material Handling Equipment)/Automation systems.
  • Experience in interpreting either mechanical or electrical drawings.
  • Experience of conveyor maintenance, motor controllers/inverters.

Preferred Qualifications

  • Experience of high voltage switching.
  • Experience of sortation machines.
  • Experience of maintaining/configuring bar code scanners.
  • Experience of print and apply machines.
  • Apprentice Trained, HNC, HND, BSc, BEng
  • . Building and Equipment Maintenance

  • Strong knowledge of building systems (HVAC, electrical, plumbing, security, etc.) and how to manage their maintenance and repair.
  • Ability to troubleshoot issues with equipment, HVAC systems, and other facilities-related concerns.
  • Familiarity with maintenance management software for tracking service requests, scheduling maintenance, and managing work orders.
  • 2. Leadership and Team Management

  • Leadership skills to manage and supervise a team of maintenance staff, janitors, and contractors.
  • Ability to delegate tasks, provide direction, and motivate team members to complete tasks efficiently and to a high standard.
  • Experience in scheduling and overseeing work assignments for the facilities team to ensure smooth operations.
  • 3. Health and Safety Compliance

  • Knowledge of health, safety, and environmental regulations related to facility management, including OSHA guidelines.
  • Ability to ensure that facilities comply with safety protocols, fire codes, and environmental regulations.
  • Experience in conducting regular safety inspections and implementing corrective actions when necessary.
  • 4. Project Management

  • Skills in overseeing facility improvement projects, from planning and budgeting to execution and evaluation.
  • Ability to manage vendor relationships, including negotiating contracts, managing costs, and ensuring service delivery.
  • Experience in coordinating upgrades, repairs, and renovations to improve facilities or address maintenance issues.
  • 5. Budgeting and Cost Management

  • Strong financial skills to create and manage a facility maintenance budget.
  • Ability to reduce costs without compromising on safety or the quality of services.
  • Experience in assessing, negotiating, and managing service contracts and supplier relationships.
  • 6. Problem-Solving and Troubleshooting

  • Ability to identify facility-related issues and resolve them in a timely manner to minimize disruption.
  • Critical thinking skills to evaluate problems and determine the most efficient and cost-effective solutions.
  • Experience in managing emergency maintenance and ensuring business continuity.
  • 7. Communication Skills

  • Strong verbal and written communication skills to interact with employees, vendors, contractors, and upper management.
  • Ability to convey facility-related issues clearly to stakeholders and provide progress updates.
  • Proficiency in preparing reports and documentation on facility status, repairs, and maintenance schedules.
  • 8. Customer Service Orientation

  • Ability to address concerns from employees, tenants, or visitors and provide a positive, service-oriented response.
  • A customer-first approach to maintaining a pleasant and functional workplace or building environment.
  • 9. Technology and Software Proficiency

  • Familiarity with facilities management software (e.g., FM:Systems, Archibus, UpKeep) to track service requests, maintenance schedules, and inventory.
  • Basic understanding of building management systems (BMS) to monitor building conditions remotely.
  • Proficiency with office software (e.g., Microsoft Office suite) for reporting and communication.

Desired candidate profile

  • Facilities Maintenance:

    • Oversee the routine inspection, maintenance, and repair of all building systems, including electrical, plumbing, HVAC, elevators, and fire suppression systems.
    • Ensure that equipment and facilities are in good working order and meet regulatory standards.
    • Manage a preventive maintenance program to minimize unplanned downtime and emergency repairs.
  • Supervision of Maintenance Staff:

    • Supervise a team of maintenance personnel, custodians, and vendors.
    • Assign and review tasks, ensure adherence to schedules, and monitor performance to maintain high standards.
    • Provide training and support for staff on safety protocols, maintenance procedures, and equipment use.
  • Health and Safety Compliance:

    • Ensure that all safety regulations are met, including fire safety, emergency exits, and proper signage.
    • Conduct regular safety audits and inspections to identify hazards and implement corrective actions.
    • Respond to emergency situations (e.g., power outages, floods, fires) to minimize facility disruptions.
  • Project Management:

    • Coordinate renovation, repair, and upgrade projects to improve building efficiency or meet tenant/employee needs.
    • Ensure that construction or renovation projects are completed on time, within budget, and according to safety standards.
    • Liaise with contractors, architects, and engineers during major projects to ensure alignment with organizational needs.
  • Vendor and Supplier Management:

    • Manage relationships with external vendors, including those providing cleaning, security, landscaping, and repair services.
    • Negotiate contracts and ensure that vendor performance meets agreed-upon standards.
    • Review and approve invoices and monitor vendor expenses to stay within the facility’s budget.
  • Budgeting and Financial Management:

    • Prepare and manage the facilities budget, tracking expenses related to maintenance, repairs, and upgrades.
    • Ensure cost-effective purchasing of supplies and equipment.
    • Manage expenditures for unexpected repairs or upgrades while maintaining cost efficiency.
  • Emergency Response and Contingency Planning:

    • Develop and implement emergency response plans, including procedures for natural disasters, power outages, and other crises.
    • Ensure that all staff are trained on emergency procedures and that facilities are equipped with necessary emergency supplies.
    • Respond to emergency situations swiftly and coordinate with emergency services when necessary.
