You will be updated with latest job alerts via emailWe re hiring an Emirati Administrative Coordinator (Part time) on behalf of a European private international, integrated consultancy of engineers, designers and advisers based in SZR.
Purpose of the role
As administrative coordinator, you will work closely with the finance and operations discipline to provide administrative support to the team.

Responsibilities
Supporting New Starters: - Setting up finance and operations induction meeting
Arrange and Coordinate Auditors meetings with Finance, Project Directors and Partners for year-end and interim audits as required
Arrange and Coordinate ISO (quality, environment, H&S) meetings with internal/external auditors and internal stakeholders (Project leaders, Finance and Operations Director, Project Directors, and Partners)
Follow-up action plans to ensure closing non-compliance items resulting from the audits
Ensuring copies of monthly sales and purchase invoices are being saved on SharePoint and flag for any missing ones
Liaising with the stakeholders for review and approvals of expenses in WorkFlows
Liaise with the headquarters to organize and coordinate the Finance and Operations forums
Managing the holiday calendar for the finance and Operations team.
Support on timesheets corrections where applicable, perform month-end amendments where required
Update and maintain the Company s Internal SharePoint pages on Magellan for teams
Coordinate and arrange Career Path Objective meetings for the team twice a year
Liaison with L&D for the implementation of courses, events etc
Commitment to self-learning/development
Ensure that common systems and templates are set up and that any problems are communicated to IT Support
Ad-hoc support on transversal projects
Qualifications and Experience
Relevant qualification or working toward a relevant qualification
Proven experience in a comparable role demonstrating a solid foundation in administrative support
Strong team player capability, Proven ability to prioritize workflow effectively
Effective communication in English
Understanding of relevant policy and regulation
Excellent IT skills and proficient user of:
MS365 suite of applications, databases
Sharepoint
MS Teams
Working knowledge of InDesign, Photoshop and Illustrator
Experience in:
Setting up and maintaining administrative procedures and quality management systems
Maintaining quality management systems
Supporting a team of people as well as working on a one-to-one basis.
