Job Summary
We are seeking a highly organized and detail-oriented Project Administrator who is fluent in Arabic and English to provide administrative and document control support for project operations. The ideal candidate will play a critical role in managing schedules maintaining project documentation and ensuring compliance with document control standards.
Key Responsibilities
Project Administrative Support
- Manage schedules coordinate meetings and arrange travel for project personnel.
- Handle daily administrative tasks to support smooth project operations.
- Develop and maintain efficient organizational systems for project records databases and files.
- Assist with onboarding and provide administrative support for project staff and contractors.
- Maintain a clear audit trail for all updates and changes made to project documents.
- Gather and incorporate feedback from project team members for continuous improvement.
- Translate documents and content between Arabic and English as required.
- Draft and type letters or memos in Arabic.
Document Control Support
- Establish and manage a comprehensive document control system for the project covering all phases.
- Implement document control policies procedures and workflows to ensure compliance with industry standards.
- Manage the distribution tracking and maintenance of project documentation.
- Oversee revisions updates and approvals of engineering deliverables.
- Ensure authorized personnel have access to the correct version of documents.
- Administer the change control process for engineering documents and review change requests for proper documentation and approvals.
- Facilitate efficient retrieval and systematic archiving of project documents.
- Conduct regular audits to verify adherence to document control procedures and enforce quality standards.
- Collaborate with engineering consultants to address any documentation quality issues.
- Provide guidance on document naming conventions file formats and metadata requirements.
- Utilize and manage an Electronic Document Management System (EDMS) ensuring it is user-friendly and aligned with project needs.
- Generate reports on document control metrics and highlight key performance indicators.
- Ensure the engineering consultant complies with document control terms outlined in the contract.
Qualifications and Skills
- Language Skills: Fluency in Arabic and English (written and spoken) is mandatory.
- Education: Bachelor s degree in Business Administration Project Management or a related field.
- Experience:
- Proven experience in project administration or document control roles.
- Familiarity with document control systems and EDMS.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint).
- Knowledge of document management software and tools.
- Strong organizational and multitasking abilities.
- Attention to detail and commitment to accuracy in documentation.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred Qualifications
- Prior experience in supporting FEED (Front-End Engineering Design) or similar phases of large-scale projects.
- Knowledge of industry standards for document control and project management.
