We are looking for an organized and proactive Events Project Executive to join our team. In this role youll handle both inperson and online events ensuring seamless logistics venue management and virtual coordination. Key Responsibilities:
InPerson Event Coordination
Global Venue Sourcing: Research identify and negotiate with hotels and event venues worldwide securing locations that meet our standards and budget.
Travel Coordination: Obtain competitive deals on flight tickets accommodations and transportation to ensure costeffective travel arrangements.
Vendor Management: Source and coordinate with branding vendors transportation providers and other service providers to support event logistics.
Budget Management: Manage event budgets strategically allocating resources and tracking expenditures to ensure highquality events within budget.
Online Event Coordination
Platform Expertise: Plan and manage online events using Zoom ensuring smooth technical execution and high engagement for attendees.
Tech Setup and Coordination: Organize and set up virtual meeting rooms coordinate speakers and manage attendee access and interactions.
Reporting and FollowUp: Track attendance gather feedback and report on online event outcomes using insights to continually improve virtual events.
Administrative and Organizational Excellence
Excel Proficiency: Use Excel to track budgets schedules and logistical details with accuracy and organization.
Organized Documentation: Maintain clear detailed records of venue contracts vendor agreements and project timelines ensuring transparency and accessibility of information.
Multitasking and Prioritization: Manage a high volume of tasks across multiple projects always maintaining attention to detail and meeting deadlines.
Client Service & Communication
Stakeholder Engagement: Build positive relationships with clients venues and vendors delivering exceptional service and adapting communication to meet various needs.
Sales and Promotion Support: Assist with ticket sales and event promotions ensuring effective communication of the events value to maximize attendance.
Customer Service Skills: Demonstrate clear enthusiastic and professional communication in all interactions.
Qualifications:
Three or more years of experience in event planning project management or a similar role with experience in both inperson and virtual event coordination.
Proficiency in Excel and Zoom with a strong understanding of virtual event best practices.
Outstanding organizational skills with the ability to manage multiple details and keep precise documentation.
Excellent communication customer service and negotiation skills.
Familiarity with project management tools and knowledge of industry trends is an advantage.
