Job Summary:

The Operations Officer t will play a key role in the operational management of the investment portfolio. This individual will be responsible for ensuring the accurate recording of trades, reconciling cash and stock positions, monitoring assets under management, and preparing detailed performance reports. The role requires a meticulous professional with extensive experience in the back-office functions of asset or investment management companies. The ideal candidate will possess strong organizational skills, the ability to handle multiple tasks efficiently, and a proven track record of maintaining high data integrity.

Key Responsibilities:

Trade Recording and Reconciliation:

  • Record trades accurately in the data management system.
  • Reconcile cash and stock positions across all portfolios to ensure consistency and accuracy.

Performance Monitoring:

  • Monitor assets under management daily.
  • Report daily performance metrics to the investment team.

Reporting and Presentation:

  • Draft and prepare detailed presentations and portfolio reports for clients.
  • Generate and distribute monthly and weekly NAV (Net Asset Value) reports.

Securities and Fund Transfers:

  • Arrange for the transfer of securities in the market between brokers as per client portfolio requirements.
  • Coordinate telegraphic transfers between bank and brokerage accounts.

Compliance Coordination:

  • Work closely with legal and compliance teams to ensure all KYC (Know Your Customer) documentation is up to date and compliant with regulations.

Customer Service:

  • Address and follow up on outstanding issues promptly.
  • Handle customer inquiries in a timely and professional manner, maintaining strong customer relations.

Data Management:

  • Ensure the integrity and accuracy of data within the management system.
  • Maintain up-to-date records and manage data quality proactively.

Communication and Relationship Management:

  • Communicate effectively with customers, brokers, and internal teams.
  • Develop and maintain positive relationships with key stakeholders.

Qualifications and Skills:

  • Education: bachelor’s degree in accounting, Finance, or Economics.
  • Experience: Minimum of 5 years of experience in a back-office function within asset or investment management companies.
  • Technical Skills: Proficiency in MS Office, particularly Excel, Word, and PowerPoint.

Personal Attributes:

  • Highly responsible and detail oriented.
  • Self-disciplined with the ability to work independently.
  • Strong multi-tasking capabilities.
  • Interpersonal Skills: Excellent verbal and written communication skills, with a strong ability to interact professionally with clients and team members.
  • Language Skills: Good command of English is essential. Bilingual proficiency in English and Arabic is preferred.
