Our company, a leader in the hospitality industry, is seeking a dynamic, detail-oriented, and highly organized Permanent Executive Assistant. This vital role will provide comprehensive administrative support to multiple C-suite executives, ensuring the smooth running of our fast-paced and exciting office environment. This position is ideal for a proactive individual with a strong work ethic who thrives in a high-energy, results-driven setting. The successful candidate will have a minimum of 3 years of experience as an Executive Assistant, preferably with hospitality experience.
Responsibilities
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Coordinate logistics of executive team programs including meetings, seminars, workshops, special projects, and events.
- Prepare and edit correspondence, communications, presentations, and other documents.
- File and retrieve documents and reference materials.
- Conduct research, assemble and analyze data to prepare reports and documents.
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Arrange and coordinate meetings and events.
- Monitor, screen, respond to and distribute incoming communications.
- Liaise with internal staff at all levels and interact with external clients.
- Coordinate project-based work and review operating practices and implement improvements where necessary.
Qualifications
- Bachelor's degree required.
- Minimum of 3 years of experience as an Executive Assistant supporting multiple C-suite executives.
- Hospitality experience is preferred.
- Exceptional organizational skills and the ability to prioritize multiple responsibilities and meet deadlines.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, PowerPoint, and Excel).
- Ability to work independently and within a team on special and ongoing projects.
- Strong problem-solving skills and the ability to make decisions under pressure.
- Ability to handle confidential information with discretion.
- Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
