Job Description

Job Title: Parent Communication Officers and Receptionists Supervisor Reporting to: Deputy Director General – School Operations School Type: K -12 System Teaching Type: Administration Purpose of the Post: To supervise, communicate and coordinate information between Parents Communication Officers and receptionists with School Administration and parents, to ensure proper communication flow, maintain parent satisfaction at high levels, reduce complaints and write monthly detailed analysis reports. Main Roles and Responsibilities 1. Orients and trains Parent Communications Officers and receptionists. 2. Evaluates the job performance of the Parent Communications Officers and Receptionists. 3. Resolves staff and parent complaints against Parent Communications Officers and Receptionists and assists the Parent Communications Officers team in following up on major issues identified. 4. Sets job goals and objectives for Parent Communications Officers and receptionists. 5. Provides ongoing job assistance and support to Parent Communications Officers and Receptionists. 6. Provides a climate for motivation in the workplace. 7. Creates a supportive working relationship with other staff. 8. Provides interpretation of the School’s Policies and procedures, Curriculum, Academic and Administrative roles, and Services provided to Parent Communications Officers/Receptionists and parents. 9. Directs and supervises the progress and transmission of school information to teachers and parents from Parent Communication Officers. 10. Emphasizes on the significance of School Code of Conduct and Regulations to Parents. 11. Directs Parent Communications Officers and Receptionists in building an effective two way communication with all parents and staff respecting culture and various family needs. 12. Assures that Parent Communications Officers and Receptionists act as the key contact for parent inquiries related to school services, scheduled activities and events. 13. Assures that Parent Communications Officer’s appreciate Parent comments, while involving them in important matters related to student’s education at school. 14. Plays the role of a facilitator by coordinating individual meetings for parents and teachers when needed in his/her presence. 15. Encourages Parent Communications Officers to establish collaborative Parent Meetings, Workshops and Orientations in line with meeting the educational program of their child. 16. Works closely with the Head of School, Principal, Academic Staff and Administrators to ensure Parents concerns are conveyed appropriately and attended to without delay. 17. Participates in designated staff academic trainings and employee development activities and applies the strategies on the job and supervises Parent Communications Officer and Receptionist implementation of the same. 18. Shows flexibility and assists in other tasks related to his/her area responsibilities when necessary. 19. Reviews the monthly complaint analysis report and works collaboratively with the heads of schools, principals, Campus Directors and Parent Communications Officers to resolve issues and reduce complaints brought forward. 20. Provides monthly Complaint analysis report to Deputy Director General, Director General and Executive Committee for review. 21. Assures that all telephone communications are promptly answered at the schools and that calls are referred correctly and in a timely manner to the proper individual. 22. Other duties as assigned by the Deputy Director General for School Operations. Essential Selection Criteria --Qualification and Certification: Bachelor’s degree in Business, Communications, or appropriate field. --Experience: 3 years in supervisory position Technical Competencies: The supervisor must: • Be fluent in English and Arabic, • Be able to communicate effectively, • Be able to handle pressure and control emotions, • possess good computer and record keeping skills, • possess strong leadership and training skills, • possess excellent correspondence skills with the ability to coordinate smoothly between parents and school team members, and, • Be able to work with employees in a program of continual improvement and supervision/evaluation. Leadership and Management Competencies: The following skills are required: • Collection and analysis of data, • Problem solving, • Effective written and oral communications with the ability to communicate effectively with all groups in both English and Arabic, • Effective decision-making skills, • Large and small group facilitation skills, • Collaboration skills, and maintain proper communications with peers, subordinates and superordinates.
