Executive Secretary – Industrial Engineering

We are seeking a highly organized and proactive Executive Secretary with an Industrial Engineering background to provide comprehensive administrative technical and coordination support to senior management. The role requires strong secretarial capabilities sound engineering knowledge and the ability to monitor projects prepare reports and coordinate effectively across departments.

• Manage calendars meetings appointments correspondence arrangements.

• Prepare professional letters reports presentations meeting agendas and minutes.

• Maintain confidential records technical documents and management files.

• Track projects action items deadlines and departmental deliverables.

• Analyse operational data and prepare management reports dashboards and presentations.

• Coordinate with Sales & Marketing team planning procurement CRM team engineering and other departments.

• Follow up with internal teams to ensure timely completion of management instructions.

• Assist with process documentation workflow mapping and continuous-improvement initiatives.

• Organize meetings and ensure decisions and action points are properly recorded and followed up.

• Screen calls emails and requests prioritizing urgent matters for management.

• Handle sensitive and confidential information with discretion and professionalism.

• Bachelors degree in Industrial Engineering or a closely related engineering discipline.

• Minimum 35 years of experience in an executive secretarial technical coordination or management-support role.

• Previous experience in a manufacturing engineering or industrial organisation is preferred.

• Strong administrative organisational and follow-up skills.

• Ability to work under pressure manage priorities and meet strict deadlines.

• High level of confidentiality accuracy and attention to detail.
