As an Engineering - Administrator, you are responsible to support the Engineering Department in the day-to-day operations by performing administrational tasks and storekeeping of the Engineering inventory. Promote the desired work culture by living the 5 winning ways value – Do the Right thing, Show we care, Aim Higher, Celebrate Difference, Work better together. Your day-to-day Coordinates and distributes work orders to technical staff whenever required day-to-day secretarial work including typing, filing, telexes, faxes, telephones, etc. Ensure distribution of documents, letters, telexes, faxes, memos, and information etc. on timely basis. Arranges internal and external appointments. Translates incoming mails, documents, articles as needed. Ensures safekeeping and filing of all contracts, financial records, energy reports etc. in appropriate storage. Assists in maintaining the regional files. Follows up on the monthly reporting of the other hotels within the regions. Supervises the use of stationery within the engineering department. Supervises the use of the photocopy machine. Assists in handling all administrative matters relating to the regional director of engineering duties as required. Ensures that all merchandise is stored under optimal conditions and is ready for issuing. Verifies quantities of arriving materials. Prepares and maintains a complete inventory system with identifying labels with number, name, issued unit, minimum and maximum stock. Ensures that all issues from stores are made against properly completed storeroom requisitions, all code numbers are clearly indicated next to each item and are signed for in the “issued by” portion of the requisition. Records each requisition before giving a copy of it to the person accepting the relevant goods and logs. Verifies the list of items at re-order point against physical quantities before submitting the list to the DE or delegate. Prepares a monthly store inventory report and follows the accounting rules in regard to store-keeping.
